The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The incumbent provides direct program support for Columbia?s Emergency Medical Service (CUEMS), the public access defibrillator program, the CPR program, and other strategic initiatives. Under general supervision of the Associate Director, Emergency Management, the incumbent provides essential administrative, organizational, and operational support to ensure the efficient functioning of key teams, projects, and initiatives within Columbia Health. This role serves as a central point of coordination for meetings, documentation, communication, and action item tracking, supporting cross functional collaboration and operational excellence that advances the mission and strategic plan of Columbia Health.

This is an essential on-site role with potential for hybrid work.

Some evening and weekend hours may be required. Visa sponsorship is not available for this role.

Responsibilities CUEMS Support (35%)
  • Assist with day-to-day administrative and operational support of CUEMS.
  • In conjunction with the Associate Director, oversee CUEMS student leadership in recruitment, onboarding, training, performance management, succession planning, and operational decision-making
  • Support management of volunteer EMT staffing, scheduling, and special event planning
  • In conjunction with Public Safety, oversee emergency vehicle care and maintenance per State regulations, vehicle specifications, and the Public Safety Fleet Management Plan; including emergency repairs and preventive maintenance.
  • Ensure proper management, accountability, and utilization of all CUEMS property and resources.
  • Maintain oversight of inventories of medical equipment and supplies to ensure operational readiness.
  • Supervise and provide operational support for student EMTs on crew, at trainings, or special details.
  • Monitor compliance with the Standard Operating Procedures.
  • Serve as operational contact for significant vehicle issues, facility concerns, and crew incidents
  • Support onboarding and training of new members, including University, NYC, & NYS laws, policies, and protocols as well as electronic systems access.
  • Assist in maintaining compliance with internal policies and NYS regulations.
  • Support documentation management, reporting systems, and electronic records maintenance.
  • Assist with preparation of training materials and documentation; support quality improvement initiatives and assist in preparing operational reports and metrics
Columbia University CPR/PAD Program Support (30%)
  • Support overall growth and operational efficiency of the CPR Program.
  • Assist with CPR class planning and scheduling logistics; prepare and organize required documentation for each certification course; and Assist with the submission of certification paperwork and maintaining compliance records.
  • Support training site administration and ensure compliance with the CPR program requirements.
  • Monitor instructor certification status and ensure adequate instructor staffing to support program needs. Day-to-day management of PAD/AED program including inventory, inspections, and documentation
  • Manage routine inspection, maintenance, testing and documentation of AED equipment; including device and battery replacement, expiration tracking, replacement schedules, and documentation. Ensure that all AEDs are maintained and tested according to manufacturer and government standards.
  • Manage PAD/AED program training and record-keeping
  • Design, develop, collect, analyze, and report program data and metrics to support reporting and planning.
  • Support interpretation of collected data and recommend process improvements.
  • Evaluate efficiency of current documentation and reporting methods.
  • Assist with quality assurance and continuous improvement initiatives for CPR instruction and program delivery.
  • Assist in initiatives to enhance program sustainability and responsible growth.
Compliance & Other Projects (25%)
  • Support and manage key elements of strategic priorities including emergency preparedness, business continuity, and resilience initiatives.
  • Support the administrative and operational needs of preparation for AAAHC accreditation
  • Support divisional business continuity planning, emergency management initiatives, tabletop exercises, drills, after-action reports and improvement plan tracking; collaborate with other University departments in the planning and implementation of Columbia Health Emergency Action Plans for major incidents.
