Project Administrator / Learning Events Program Coordinator
Onsite | New York City. 6-Month Fixed-Term Contract

We're currently seeking a highly organized and proactive Project Administrator / Learning Program Coordinator to support the delivery of leadership development programs and enterprise learning initiatives for a major global financial institution based in New York City.

This role is ideal for someone who thrives in fast-paced environments and enjoys bringing complex projects to life. While event coordination is part of the role, this position is equally focused on project coordination, stakeholder management, program administration, operational execution, and learning program delivery.

What You'll Do
Lead Learning Program & Project Coordination
  • Coordinate end-to-end logistics for leadership development programs and learning events.
  • Manage program plans, timelines, milestones, and readiness activities.
  • Support participant enrollment, tracking, and program administration.
  • Monitor deliverables and ensure projects remain on schedule.
  • Coordinate activities across internal teams, client stakeholders, vendors, and multiple locations.
Manage Event & Venue Operations
  • Coordinate venues, hotels, meeting spaces, and event logistics.
  • Partner with external vendors, venue teams, and production suppliers.
  • Oversee room setups, branding, signage, and learning environments.
  • Ensure participant materials, learning resources, and event collateral are prepared and available.
  • Conduct venue walkthroughs and proactively address operational issues before and during delivery.
Support Live Program Delivery
  • Provide onsite operational support for leadership programs and executive learning events.
  • Coordinate facilitators, ambassadors, venue staff, and suppliers during delivery.
  • Manage last-minute changes and operational requests in real time.
  • Ensure an exceptional participant experience throughout each program.
  • Maintain quality standards and ensure all activities align with client expectations.
What We're Looking For
Experience
  • Experience supporting complex projects, programs, events, or operational initiatives.
  • Experience coordinating learning programs, training events, leadership development programs, or large-scale corporate events.
  • Proven ability to work with multiple stakeholders, vendors, and cross-functional teams.
  • Experience in fast-paced environments where priorities can change quickly.

Additional Information
  • Location: Onsite in New York City
  • Contract: 6-Month Fixed-Term Assignment
  • Travel: Up to 10% travel may be required
