We have an exciting opportunity to join our team as a Project Coordinator.
Position Summary:
FACES (Finding A Cure for Epilepsy and Seizures) at NYU Langone Health is seeking a highly organized, detail-oriented Project Coordinator, supporting the planning and execution of fundraising, donor stewardship, patient support, and community engagement initiatives. This position plays an integral role in coordinating projects from start to finish while working closely with internal departments, donors, vendors, sponsors, and community partners. Reports to FACES Program Manager and works under general supervision.
- Provide administrative and operational support to the team in daily tasks and activities, including maintaining donor records, constituent files, preparing acknowledgements, and supporting day-to-day office operations.
- Complete transmittals and assist with gift processing and maintaining records through TRAX, the Blackbaud donor database.
- Maintain and update the FACES website to ensure timely and accurate information and accurately depict current and future events.
- Coordinate donor stewardship activities, event logistics, vendor and sponsor communications, registration, volunteer management, and procuring event materials.
- Lead the FACES Camp and College Scholarship programs including application tracking, award processing, and communications.
- Manage the day-to-day operations of the FACES Apartment Program, including inquiries, scheduling, bookings, and calendar management.
- Assist in planning and executing annual FACES fundraising and community events such as FACES Gala, Game Day, Epilepsy Conference, Peace of Mind Lecture Series, and more.
- Support the FACES team with donor solicitation letters, invitations, and any related print and electronic collateral materials for distribution through email and on-site advertising.
- Recruit, train, and manage event volunteers as needed.
- Support onsite event operations as needed.
- Manage multiple priorities and projects simultaneously while maintaining attention to detail.
- Perform other duties as needed to support the mission and growth of FACES.
- Seasonal evening and occasional weekend work is required to support major community and fundraising events.
- Strong organizational skills with the ability to prioritize competing deadlines and adapt in a fast-paced environment.
- Capacity to manage multiple projects simultaneously while maintaining exceptional attention to detail.
- To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications.
- Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.
- Experience with donor databases (e.g. Blackbaud) or EPIC is preferred but not required.
- Project/Program management experience preferred.
