About the role

The Business Operations Manager is the operational backbone of our growing US team. You will make sure people have what they need to do their best work, the New York office runs well, local suppliers deliver, and important commercial, people and marketing activity is supported reliably.

The role is a generalist business operations role spanning operations, people and commercial functions. You will manage repeatable processes as the team grows, while staying close to the practical work. You will work daily with the Interim US Lead and coordinate and route specialist customer success, legal, security, tax and accounting work to the relevant functional owners.

Core responsibilities

US people and hiring operations

  • Run the people process for new US hires, including coordinating with recruiters and hiring managers, office access, equipment, system access and introductions.
  • Maintain clear onboarding and offboarding checklists, ownership and records in partnership with People, Operations and Technology.
  • Make sure new joiners are ready to work effectively from day one and resolve access or equipment issues quickly.

Sales and customer procurement support and US vendor management

  • Support the US Commercial team with customer procurement, vendor onboarding, due diligence and practical customer meeting logistics.
  • Coordinate completion of security, privacy, insurance and company-information requests, drawing on approved materials and escalating specialist questions to the right UK owner.
  • Coordinate US suppliers across office, IT, events and other local services. Support vendor selection and onboarding, maintain contracts and renewal dates, and make sure invoices reach the correct approval and payment process. Monitor service quality, costs and issues, escalating material risks or commitments before they become problems.

US event operations

  • Own the end-to-end operational delivery of US customer, prospect and partner events. This will include event runbooks, venues and suppliers, attendee logistics, budgets, risks and on-site execution.
  • Maintain event plans, budgets and deadlines, and run post-event operational reviews to improve future delivery.
  • Office management, finance administration and IT and systems coordination
  • Coordinate the practical running of the New York office, including access, supplies, facilities, visitors and workspace-provider relationships. As the team grows, support the planning and operational setup of future US office space.
  • Maintain local budgets and spend tracking; coordinate invoices, expenses and payment approvals; support month-end with UK Finance; keep entity, banking and insurance administration organized; and elevate tax, accounting and legal decisions to specialists.
  • Act as the main US point of contact for PAIR's IT managed service provider. Coordinate device ordering, setup, replacement and return, working within PAIR's security and asset-management processes. Keep accurate local equipment, access and supplier records.
