DEPARTMENTFUNCTION
The Committee Membership Office oversees the membership of 140 committees and provides support, resources, and guidance to committee chairs so they can effectively manage their membership and engage with the organization. The Committee Membership Office equips chairs, members and applicants with clear information about membership processes, organizational policies and practices, available platforms and tools, and the staff and resources available to support their work.
The Office works closely with other Departments, including the Membership Department, IT Department, and others.
The Committee Services Coordinator supports the administration of the City Bar’s committee membership processes, records, and policy compliance, while helping identify and implement process efficiencies.
The role serves as a key point of contact for committee chairs and leadership, coordinating roster updates, membership changes, and communications about policies, procedures, and deadlines. The Committee Services Coordinator also serves as a resource for committee members and prospective applicants by responding to questions, sharing membership updates, and providing timely, accurate information and administrative support. The role also supports departmental initiatives, special projects, and other duties as assigned.
Areas of responsibility include, but are not limited to:
- Administer the committee membership database, currently maintained in IMIS and transitioning to Nimble, and maintain accurate rosters by processing appointments, renewals, resignations, and other membership changes in accordance with established policies.
- Coordinate the annual committee membership appointment and turnover process, including preparing timelines, tracking status, and coordinating communications with committee chairs, members, and applicants.
- Serve as a key point of contact for committee chairs by providing information, resources, and administrative support regarding committee administration, membership processes, deadlines, and established practices.
- Develop and distribute regular communications to committee chairs, including monthly updates/newsletter and other committee-related announcements as needed.
- Communicate established committee membership policies and eligibility requirements to committee chairs, members, and prospective applicants, and help ensure information is clear, consistent, and accessible
- Provide responsive, high-quality customer service by answering inquiries, resolving membership-related issues, and assisting applicants throughout the committee application and appointment process.
- Support committee recruitment efforts by coordinating applicant information, tracking interest, assisting with outreach, and supporting membership and outreach events that promote committee participation.
- Collaborate with internal departments to support committee operations and improve coordination across the committee program.
- Identify opportunities to streamline committee membership operations, improve workflows, reduce manual steps, and support more consistent administrative processes.
- Assist with identifying and documenting process improvements, technology needs, and system efficiencies that improve the experience of committee chairs, members, and applicants
- Participate in departmental initiatives, special projects, and perform other duties as assigned.
