Position OverviewWe are seeking an experienced Project Coordinator to support construction-related projects involving General Contractors (GCs), vendors, budgeting, scheduling, quality, bidding, contracting, and field execution. The ideal candidate will have at least 3 years of project coordination or project management experience
, strong analytical and organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
This role will be responsible for maintaining project plans, tracking project status and deliverables, coordinating with internal teams and external vendors, managing project metrics, supporting financial reconciliation, and ensuring administrative and procedural activities are completed accurately and on time.
Key Responsibilities- Coordinate and maintain project plans, schedules, deliverables, and status updates.
- Work closely with project teams to obtain timely updates and ensure progress toward project completion.
- Monitor project tasks and track items as complete, in progress, or late
. - Prepare and distribute weekly reports outlining upcoming project activities.
- Maintain and update project deliverables scorecards and other project tracking tools.
- Compile status reports from various project teams into consolidated project reports.
- Track and report project metrics using SAP/SAP Solution Manager (SAP Sol Man) and other project systems.
- Develop and report metrics related to BPRDs, RICEF, legacy evaluations, and other project activities.
- Coordinate bidding, tendering, contracting, and field execution activities.
- Coordinate with GCs, vendors, and other project stakeholders regarding cost, schedule, quality, and project deliverables.
- Identify project risks, elevate issues appropriately, and recommend potential solutions.
- Review and verify project data and information for accuracy; investigate and resolve discrepancies.
- Support project budget tracking and financial reconciliation.
- Receive and reconcile vendor invoices against project budgets and trackers.
- Coordinate internal billing and resolve billing discrepancies.
- Accrue monthly expenses for services or materials that have not yet been invoiced.
- Coordinate direct billing activities related to travel, including air and hotel expenses.
- Track project team hours and prepare time-related metrics.
- Approve time entries for delegated team members.
- Run delinquent time reports and follow up with team members as necessary.
- Maintain project team lists, email distribution lists, and shared-drive materials.
- Coordinate requests related to telecommunications, NSG, equipment, and other project requirements.
- Organize and distribute project correspondence and mail.
- Ensure all required project documentation and administrative activities are completed accurately and on schedule.
- Perform additional project coordination and administrative duties as required by the Project Management Office (PMO).
Skills & Qualifications
- Minimum 3 years of experience in project coordination, project management, construction coordination, or a related field.
- Strong understanding and hands‑on experience with project management processes.
- Experience working with construction projects
, GCs, vendors, schedules, costs, and quality is highly preferred. - Experience with SAP
, including SAP Solution Manager/SAP Sol Man, preferred. - Strong Microsoft Excel skills, including pivot tables and data analysis.
- Knowledge and hands‑on experience with Microsoft Project
. - Strong understanding of financial tracking, budgets, invoices, and reconciliation.
- Experience with data entry, reporting, metrics, and project documentation.
- Experience with tendering/bidding and contract management is preferred.
- Ability to read and understand construction plans is a plus.
- Excellent time‑management and organizational skills.
- Strong analytical and problem‑solving abilities.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to adapt to changing priorities and work effectively in a dynamic environment.
- Fluent in English, both written and verbal.
Bachelor’s degree in business administration, Accounting, Finance, Project Management
, or another related business discipline preferred.
