Responsibilities- Role of Closeout Coordinator:
Close out each project fully, make binders for clients, provide electronic copies also. - Objective is to close out GC, MH, PL, SP, BEC & FA applications/permits.
- Continuously update spreadsheet – enter new project, PM’s, DOB #’s & subcontractors regularly.
- Update the project closeout document folder creating new folders for new projects as they appear on the list.
- Become familiar with DOB website – know how to check if permit signed off or need final inspection on DOB site.
- Regularly follow up with subs for missing documents and sign offs.
- Record all correspondence you have via email in comments section of spreadsheet (this backs up your work and how many times you’ve tried to get documents).
- Closeout documents = MEPS As-Builts, O+M Manuals, sign offs, warranty letters = COMPLETE PACKAGE (Architectural Trades = Warranty Letters & Care Maintenance & MSDS Sheets).
- On spreadsheet the aim is to have a date in every blue & orange box – this means that the permit app # is signed off & we received all closeout documents.
- Sign Off is followed by Letter of Completion [LOC].
- All FDNY Packages should contain Letter of Acceptance, TM-1 Application and Plans, please make transmittal on Timberline before sending out to EC via email and save email in folder for confirmation when sent out.
- Follow up with EC for Fire Alarm As Built – PDF & CAD – send to EOR for review, signature and sealed.
- FDNY Process – LODefect or LO Recommendation – LO Approval – LO Completion.
- BEC Sign off will never have LOC – just (Final PASS).
- If notified of Inspection – create a meeting on Outlook calendar, invite all building contacts (ask PM or APM for them), invite the sub that told you about the inspection and entire JEF project team along with client. (Attached copy of Inspection Print on email).
- Provide Timberline Transmittal for the FDNY Package before you send it to EC via email.
- Provide TOC in each binder/package that is sent out to Owner’s Rep/and or Client.
- Required:
Microsoft Office (Excel, Word, PowerPoint, and Outlook) - Preferred: MS Project, Procore and Timberline
- To the extent this position is performed in New York City, the annual salary range for this role is $66,300 - $80,000.
- Monday through Thursday 8:00AM-5:00PM, Friday 8:00AM-4:00PM
