The RoleAs a Project Closeout Consultant, you will manage all aspects of closeout documentation collection, organization, validation, and delivery for commercial construction projects. You are the person who makes sure nothing gets lost in the handoff from construction to operations.
This role requires attention to detail, comfort working with construction documents, and the ability to coordinate with multiple subcontractors and project teams simultaneously.
What You Will Do Document Collection and ManagementYou will collect closeout documentation from general contractors and their subcontractors throughout construction. This includes equipment specifications, operation and maintenance manuals, warranties, as-built drawings, commissioning reports, test and balance reports, and training materials. You will track submission status, follow up on outstanding items, and ensure all required documents are received.
Organization and VerificationYou will organize documentation in our Data Sphere platform by system, room, manufacturer, and drawing number. You will verify that submitted documentation matches contract requirements and installed equipment. When you find a manual for the wrong model or a missing warranty, you will track it down and get it corrected.
Quality Assurance and AuditYou will audit documentation packages for completeness and accuracy before delivery. This means validating that the HVAC manual matches the installed equipment serial numbers, the electrical panel schedules reflect as-built conditions, and all required warranties are documented with proper start dates and coverage periods.
Client CoordinationYou will work directly with project managers, project engineers, and subcontractors to collect documentation. You will provide status updates to general contractors and participate in closeout coordination meetings. You will train building owners and facility managers on Data Sphere navigation and features upon project delivery.
Project ManagementYou will manage multiple projects simultaneously at different stages of completion. Some projects will be in early collection phases while others are in final delivery. You will track progress against milestone schedules and flag issues before they become problems.
What You Bring Required Experience- 2+ years working with construction documentation, project management, or facilities management
- Familiarity with construction closeout processes and typical documentation requirements
- Experience reading and interpreting construction drawings and specifications
- Proficiency with document management systems and cloud-based platforms
- Strong organizational skills with the ability to track hundreds of documents across multiple projects
- Background as a project engineer, project coordinator, or assistant project manager with a general contractor
- Experience in facilities management or building operations
- Knowledge of MEP systems (mechanical, electrical, plumbing) and building equipment
- Familiarity with CSI specification divisions and submittal processes
- Experience with construction management software
- Detail-oriented with a low tolerance for incomplete or inaccurate information
- Comfortable communicating with subcontractors, project managers, and building owners
- Self-motivated and able to work independently on multiple concurrent projects
- Problem solver who finds missing documents rather than just noting they are missing
- Clear written communication for status reports, emails, and documentation notes
