Position: Project Management Assistant (APM) – Construction – Nassau County
Location: New York

We are seeking a detail-oriented and proactive Project Management Assistant - APM to support the Construction Department across all project phases. You will be responsible for ensuring seamless project coordination, maintaining meticulous documentation, and facilitating communication between stakeholders to keep capital improvement and development projects on schedule.

Key Responsibilities
  • Project Coordination: Facilitate daily operations and execution within the Construction Department to ensure project milestones are met.
  • Document Control: Manage the lifecycle of building permit applications and construction plans, including receiving, logging, and tracking all related documentation.
  • Compliance & Review: Perform detailed reviews of project drawings, specifications, and submittals to ensure full compliance with project requirements and industry standards.
  • Record Management: Maintain organized digital and physical archives for permits, inspections, and plan review files in alignment with company procedures.
  • Workflow Tracking: Monitor and manage critical project logs, including RFIs, submittals, and change orders.
  • Reporting & Analysis: Prepare data-driven progress reports and charts to provide visibility into project health and issues.
  • Meeting Leadership: Actively participate in project meetings, capturing key updates and preparing summary reports for leadership.
  • Project Closeout: Partner with General Contractors to manage the collection and verification of closeout documents, including as-builts, warranties, and guarantees.
  • Administrative Support: Assemble and distribute project materials and forms as required to support team efficiency.
Qualifications
  • 2–5 years of professional experience in construction engineering or project management.
  • Proficiency in construction management software (e.g. Procore, Bluebeam), MS Project, and the MS Office Suite.
  • Strong foundational understanding of construction drawings, building codes, and industry best practices.
  • Exceptional organizational, communication, and problem-solving abilities.
  • Ability to work effectively in both a professional office environment and on active job sites.
Compensation

$70,000 – $75,000 plus bonus, 401k, fully paid health benefits, and other perks.

The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.
