Position Summary

Construction Procurement Solutions (CPS), part of the STO Building Group, is seeking a detail-oriented and proactive Post‑Award Coordinator to manage and control project documentation and processes following award. The successful candidate will serve as the central point of contact for CMiC project inputs, submittals management, equipment tracking, and coordination of project deliveries. This role is critical to ensuring seamless project execution and high‑quality client service by driving accurate and timely document control and communication across project stakeholders.

Key Responsibilities
  • CMiC Project Inputs:
    Set up and maintain project information in CMiC (or similar ERP/project management software) after award, ensuring accuracy and alignment with contract requirements.
  • Submittals Management:
    Coordinate, track, and process all equipment and material submittals. Manage submittal logs, review timelines, distribute submittals for internal and external review, and follow up on outstanding items.
  • Requests & Documentation:
    Prepare and issue submittal requests, collect required documentation from vendors and suppliers, and ensure compliance with project specifications.
  • Equipment & Submittal Tracking:
    Monitor status of all equipment orders and submittals. Maintain up‑to‑date tracking logs and proactively address any delays or issues.
  • Delivery Coordination:
    Collaborate with procurement, project management, suppliers, and jobsite teams to coordinate delivery schedules, resolve conflicts, and communicate updates.
  • Communication:
    Serve as a liaison between internal teams, clients, and vendors regarding documentation, submittals, and delivery milestones.
  • Quality Control:
    Ensure all documentation is complete, accurate, and filed in accordance with company procedures and project requirements.
  • Continuous Improvement:
    Identify and implement process improvements for document control, submittal workflows, and delivery coordination.
Required Qualifications
  • 2+ years of experience in project administration, document control, or coordination—preferably within the construction or building supply industry.
  • Proficiency in project management and ERP systems, ideally CMiC; strong Excel and general computer skills.
  • Demonstrated organizational skills with a keen attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines in a fast‑paced environment.
  • Excellent verbal and written communication skills.
  • Strong problem‑solving ability and proactive follow‑up habits.
  • Experience working with submittals, equipment procurement, or delivery scheduling is highly desirable.
Preferred Qualifications
  • Experience in construction management, procurement, or subcontractor coordination.
  • Familiarity with CSI divisions, construction specifications, and AIA documentation.
  • Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field.

The salary range for this position is $75,000–90,000 annually. In addition, this role is eligible for a discretionary annual bonus.
