Assistant Director of Events Management

POSITION DETAILS

The CUNY Office of Communications and Marketing (OCM) works in partnership with the University’s academic and administrative offices and the 26 colleges to promote CUNY’s unique mission and transformative role as an engine of social mobility. The office includes seven divisions:
Communications, Creative, Marketing, Social Media, Multimedia, CUNY TV and Citizenship Now! Together the teams manage all aspects of press and public relations, editorial content, art design, publishing, social media, advertisement, web development, TV, video and podcast production to tell the story of the premier urban public university in the United States.

The Office of Events Management under the Office of Communications and Marketing at The City University of New York develops and implements conferences, receptions, programs, services, and University-wide special events including opportunities for public and private sector organizations to work with our university community in meeting shared goals.

Reporting to the University Director of Events Management, the Assistant Director supports the planning and execution of high-level University events, including conferences, receptions, and gatherings for distinguished leaders, faculty, staff, and students. The role involves coordinating logistics, facilities, and services in collaboration with Communications and Marketing, Public Safety, and other offices. The Assistant Director also manages the University’s event platform and web conferencing tools to deliver seamless virtual, hybrid, and in-person events.

They will work closely with vendors, tech teams, and organizers to ensure a smooth experience for all participants. The Assistant Director of Events Management will oversee the planning, coordination, and assists with the execution of events.

Key duties and responsibilities include, but are not limited to the following:

  • Assist the University Director of Events Management with logistics and program planning for all in-person, virtual and hybrid events.

  • Support the Director in overall strategic planning, coordination and implementation of events office initiatives and professional development activities to meet targets and goals for student success in college.

  • Assist with the planning and organization of events, including logistics, schedules, and on-site management.

  • Collaborate with various internal and external teams (communication, marketing, building and ground, facilities, public safety, vendors, etc.) to ensure the event's objectives are met.

  • Maintain strong communication with stakeholders to keep them updated on event progress.

  • Work with external vendors such as caterers, audio-visual teams, and entertainment groups.

  • Assists with the booking of event venues and ensure that all logistical details (e.g., transport, parking, permits) are in place.

  • Oversee the use and functionality of the event platform for virtual, hybrid, and in-person events, ensuring smooth setup and operation.

  • Act as the primary point of contact for event organizers, providing them with guidance and best practices for platform use, from event creation to execution.

  • Identify and resolve any technical issues related to the platform or event operations to ensure a seamless attendee and organizer experience.

  • Assist with customizing the event platform for specific events, including branding, session layouts, attendee registration, and ticketing.

  • Monitor event performance and user engagement, providing post-event analytics and reports to stakeholders.

  • Participate in special projects and provide direction and delegate tasks to team members as needed.

  • May lead a team of event coordinators, volunteers, or staff members to ensure effective event execution.

NOTE:

Until further notice, this position is eligible for a hybrid work schedule.

QUALIFICATIONS

Minimum:

Bachelor's Degree and four years' relevant experience required.

Preferred:

  • Strong writing, editing, reporting and presentation skills.

  • The ideal candidate will have work experience within a college or university setting.

  • Ability to easily build relationships with internal and external vendors.
