Job Summary:The Experiential Production Coordinator at Starkman & Associates plays a vital role in supporting the production team through every phase of event execution. This multifaceted position is responsible for coordinating logistics, managing vendor and crew communications, tracking budgets and timelines, supporting client needs, and providing essential on-site assistance during live activations.
As a key internal hub, the Production Coordinator ensures information flows clearly between senior producers, clients, creative teams, and third-party vendors—helping maintain organization, momentum, and precision across multiple projects. From sourcing quotes to updating production decks, prepping kits to jumping in on-site, this role touches every layer of the process.
This position requires excellent organizational and communication skills, a strong attention to detail, and a cool-headed, solution-oriented approach. Ideal candidates are proactive, team-driven, and thrive in a fast-paced, ever-evolving creative environment. The Coordinator is integral to ensuring smooth operations and exceptional outcomes across Starkman’s portfolio of fashion, beauty, and lifestyle events.
Key Responsibilities:Production Support
- Support senior producers in the day-to-day execution of experiential events
- Assist with building and tracking production timelines, run-of-show documents, and call sheets
- Coordinate travel, lodging, meals, and scheduling for crew and talent
- Manage shipping logistics, supply orders, and vendor pickups/drop-offs
- Attend and support on-site installs, live events, and strike days
- Maintain accurate records of bids, invoices, contracts, and POs
- Liaise with vendors to confirm orders, timelines, and deliveries
- Help with vendor research, outreach, and procurement
- Keep production trackers and budgets updated and organized
- Take notes and circulate recaps for internal and client meetings
- Scheduling client meetings
- Assist in preparing decks, estimates, and presentations
- Ensure internal folders, assets, and timelines are clearly organized and accessible
- 1–3 years of experience in event production, project coordination, or agency operations
- Strong organizational skills and attention to detail
- Comfort working in a fast-paced, deadline-driven environment
- Excellent written and verbal communication skills
- Proactive problem-solver with a collaborative mindset
- Working knowledge of G-Suite (Drive, Docs, Sheets, Slides);
Keynote a plus - Availability to work occasional nights/weekends for events
