Position Summary
We are seeking a highly organized and detail-oriented Production Assistant to support our creative and production teams. This role is responsible for coordinating product samples, assisting with photoshoots, and providing day-to-day operational support across eCommerce and editorial productions. This position requires strong organizational skills, attention to detail, and the ability to collaborate effectively with cross-functional teams while following established processes under general supervision.
PrimaryResponsibilities
- Track incoming and outgoing product samples, ensuring accurate logging and accountability.
- Maintain organized inventory, labeling, documentation, and storage of all samples.
- Coordinate with cross-functional teams (Product Development, Marketing, Quality Assurance) to support sample needs and timelines.
- Communicate effectively to ensure timely delivery, return, and readiness of samples.
- Review samples for quality and accuracy; elevate discrepancies as needed.
- Assist with shipping and receiving of samples to internal and external partners.
- Support production timelines by helping ensure timely and cost‑effective sample availability.
- Prepare samples for photoshoots (e.g., steaming, organizing, staging, pulling accessories).
- Attend in‑office eCommerce shoots and provide on‑site production support including assisting with equipment and props, ordering breakfast for crew, and assisting the stylist throughout the day with rack organization and preparing the next look.
- Assist the Producer with shoot‑day setup, including prep and coordination of logistics (e.g., meals, materials).
- Support local editorial productions as a production assistant.
- Assist in creating, updating, and auditing call sheets.
- Participate in pre‑shoot meetings and support production planning and coordination.
- Assist with castings and model fittings (prep product, assist model with dressing, etc.).
- Maintain model usage and talent tracking documentation.
- Support Art Directors with maintaining and updating talent decks.
- Assist in maintaining studio equipment, props, and general production organization.
- Provide administrative and operational support to creative and production teams as needed.
- Assist in organizing sample‑related events, presentations, and internal reviews.
- High school diploma or equivalent required; additional education in a related field is a plus.
- 1+ year of experience in a production, studio, retail, or product coordination role preferred.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite; experience with sample tracking systems is a plus.
- Ability to work in a fast‑paced environment and adapt to shifting priorities.
- Ability to lift and move sample inventory as needed and be on‑site for shoot support.
