Description
The Center is seeking a Program Coordinator to oversee the administration and coordination of educational and artistic programming produced by the Center. This role is critical in ensuring smooth collaboration between students, faculty, administrators, guest artists, and designers, ultimately contributing to the success of innovative, technology‑driven programs and experiences. With the recent expansion of artistic programming and educational offerings, we need a highly organized professional to manage logistical elements, keep track of the budget, and support the realization of innovative, technology‑driven artistic work.

The work environment is on‑site with some opportunity to work off‑site between productions and performances. This position is non‑exempt. The salary for this role is $62,000‑$65,000 per year.
Role Responsibilities- Drive the successful execution of the Center’s programs, performances, and special events by leading administrative operations that ensure smooth and timely delivery from planning to completion.
- Foster alignment and collaboration across departments and external partners by coordinating schedules and priorities, ensuring clarity and cohesion among stakeholders and service providers.
- Act as a vital communication bridge between students, faculty, administrators, and guest artists, ensuring seamless collaboration and a shared understanding of goals and expectations.
- Collaborating with Music Division and Finance, maintain an accurate budget by ensuring regular costs and expenditures are aligned with the annual budget and financial needs to successful execution of all programs and events. Process and track ad‑hoc payroll and accounts payable expenses for the Center.
- Maintain an integrated and up‑to‑date schedule that supports efficient planning and execution of the Center’s activities, enabling timely delivery of rehearsals, meetings, and program milestones.
- In collaboration with Director, CCT and the Music Division, recruit and cast student performers for all departmental performances and events, including Future Stages Festival, contracting guest artists with Legal as appropriate.
- Promote a culture of respectful and effective communication by facilitating clear, timely, and professional exchanges that address scheduling and logistical needs across all collaborators.
- Enhance the quality and reliability of production logistics by proactively supporting the coordination of rehearsal spaces, technical requirements, and performance needs.
- Demonstrated success over 3+ years in arts administration, stage management, or production coordination, with a proven track record of delivering high‑quality events and performances—ideally within performing arts or academic institutions.
- Applied knowledge of stage management and production, particularly in theater or dance, resulting in smooth, professional execution of rehearsals and live performances.
- Proven ability to manage complex, overlapping schedules and competing priorities with precision and consistency, contributing to the timely and effective delivery of productions and programs.
- Experience managing budgets and spreadsheets that include fees for talent, costs for service providers, and costs for maintenance and upgrades.
- Experience with contracts for guest talent, designers, and service providers.
- Exceptional written, verbal, and interpersonal communication skills, regularly used to foster productive collaboration and clear coordination among artists, faculty, staff, and guest collaborators.
- Formal training in arts administration, arts management, stage production, or stage management, providing a strong foundation for leadership and informed decision‑making in a production environment.
- Passion for the performing arts in all their creative manifestations.
- Committed interest in emerging art forms and innovative practices, with the drive to explore new ideas and help bring contemporary productions in music, dance, theater, and new media to life.
