Overview

Wizard Studios North Inc. is a national event production company whose award-winning capabilities include visioning, design, and implementation of branded print materials for events. We deliver high-quality print deliverables for live events and marketing campaigns.

Position

The Print Coordinator is a detail-oriented production professional responsible for managing the full lifecycle of print materials—from initial spec and vendor sourcing through delivery and on-site installation. This role supports both event production and marketing functions, ensuring branded, scenic, and collateral print deliverables meet quality standards, are delivered on time, and stay within budget. The Print Coordinator acts as a liaison between internal creative teams, project managers, and external print vendors.

Reports to: Director of Production - Creative Services

Responsibilities
  • Manage multiple concurrent print projects across different event timelines and internal deadlines
  • Maintain organized file management systems for artwork, proofs, and approvals
  • Issue and track print specifications, proof approvals, and change orders with internal stakeholders
  • Support post-event recaps with print cost actuals and vendor performance notes for future reference
  • Event Print Production: Manage end-to-end print production for live events including signage, banners, step-and-repeats, directional graphics, scenic prints, and custom fabrication elements
  • Translate creative files and design specs into production-ready print orders; confirm bleed, resolution, color profiles (CMYK/PMS), and substrate requirements
  • Coordinate with scenic and AV teams to ensure print elements integrate correctly with staging, rigging, and lighting plans
  • Maintain event-specific print schedules and flag risks to the Project Manager proactively
  • Occasionally oversee on-site delivery, installation coordination, and strike/removal of all print materials
Marketing & Collateral Print
  • Manage production of marketing collateral including sales decks, capabilities brochures, proposals, branded stationery, and promotional materials
  • Maintain brand consistency across all printed materials; enforce brand standards in coordination with marketing leadership
  • Track inventory of collateral materials and reorder proactively to avoid shortfalls
  • Support new business pitches and client presentations with print deliverables as needed

Job Qualifications
  • 2+ years of relevant experience in graphic design, print production, event production, or related role
  • Strong working knowledge of large-format print production: substrates, inks, mounting, finishing, and installation
  • Proficiency reading and preparing production-ready files (Adobe Creative Suite preferred)
  • Excellent written and verbal communication skills
  • Polished, professional demeanor with confidence and enthusiasm for the business
  • Proven success in a client-facing capacity
  • Proactive with the ability to work independently and across multiple teams
  • Organized with the ability to prioritize and manage time efficiently with high attention to detail
  • Ability to work on strict deadlines and in high-pressure situations
  • Preference given to candidates with knowledge of Scenic Carpentry as it relates to theater or event production
  • Working knowledge of Google Workspace, Asana or similar project management tools, and drafting software (Sketch Up, Vectorworks, CAD)
