Office Manager – Midtown Manhattan Dental Practice
Location: Midtown Manhattan, NY
Job Type: Full-Time
Schedule: Monday–Friday, 8:00 AM–5:00 PM
A busy, established dental practice in Midtown Manhattan is actively seeking an experienced Office Manager to oversee daily operations and help ensure the practice runs smoothly, efficiently, and profitably while maintaining an exceptional patient experience.The ideal candidate is a confident, organized, personable leader with strong dental office management experience who is comfortable overseeing a team in a fast-paced clinical environment.
Key Responsibilities Operations & Administration- Oversee daily office operations, including opening/closing procedures and overall workflow
- Maintain and optimize the appointment schedule to maximize provider productivity and minimize scheduling gaps
- Maintain accurate patient records and office documentation
- Oversee office supply inventory and ordering
- Coordinate equipment maintenance, repairs, and service as needed
- Supervise front-desk, hygiene, and assisting staff
- Coordinate staff schedules and coverage
- Coordinate temporary staff when needed
- Onboard, train, and support new employees
- Conduct or coordinate staff meetings and communicate practice policies
- Coordinate insurance company enrollment
- Support performance management and promote a positive, professional workplace culture
- Serve as the primary point of escalation for patient questions, concerns, and complaints
- Ensure a welcoming and professional front-office environment
- Oversee new-patient intake and treatment-plan presentation support
- Manage patient confirmations, recalls, reactivation, and other communications
- Follow up with patients to support strong case acceptance and retention
- Oversee billing, insurance verification, claims submission, and accounts receivable
- Manage patient payments, payment plans, and collections
- Enter and accurately post all payments in Dentrix
- Monitor outstanding balances and support effective collection efforts
- Ensure compliance with HIPAA, OSHA, and applicable state and federal regulations
- Maintain current staff credentials, licenses, and required training
- Keep required logs, records, and documentation accurate and audit-ready
- 5+ years of dental or medical office management experience
- Strong proficiency with Dentrix
- Experience with Weave or similar patient communication software
- Strong working knowledge of dental insurance, billing, and coding
- Proven leadership and team-management skills
- Excellent organizational and communication skills
- Ability to manage multiple priorities in a busy clinical environment
- Experience in a general and/or cosmetic dental practice
- Familiarity with HIPAA and OSHA compliance requirements
- Experience with treatment-plan coordination and case acceptance
Monday–Friday | 8:00 AM–5:00 PM
