CONTACT NAME DESCRIPTIONJacob’s Pillow seeks an enthusiastic and detail-oriented Programming Coordinator to support the Programming Department during the Festival season. This entry-level role is designed for early-career professionals in arts administration, company management, and festival operations. The Programming Coordinator provides hands‑on support across logistics, hospitality, and event execution while gaining exposure to artist relations, program planning, and cross‑departmental collaboration.
KEY RESPONSIBILITIES Administrative Support- Assist with filing contracts, collecting receipts, and organizing program documentation.
- Submit all IT and Facilities Maintenance requests on behalf of the Programming Department.
- Support basic budget tracking and administrative tasks.
- Participate in weekly departmental meetings, providing updates, sharing insights, and listening for alignment across departments.
- Weekly hospitality ordering, pick up and delivery.
- Assist with welcoming artists, scholars, and guests upon arrival and throughout their stay.
- Support giving campus tours as needed.
- Help prepare welcome packets, schedules, and informational materials.
- Assist with opening and closing the Welcome Center.
- Assist with Family Music & Dance class check‑in and support the instructors and participants.
- Support housing and transportation logistics, including driving, errands, and schedule updates.
- Help maintain shared calendars, contact lists, and daily run‑of‑show documents.
- Participate in the on‑call rotation as part of a team.
- Support setup, execution, and breakdown of special events.
- Assist Programming and Events teams during public programs, including evenings and weekends.
- Interest in arts administration, programming, event management, or hospitality.
- Previous work experience, internship, or volunteer in the arts, events, or hospitality.
- Strong organizational skills and attention to detail.
- Clear written and verbal communication skills.
- Ability to work collaboratively and take direction.
- Willingness to work evenings, weekends, and long days during the Festival.
- Valid driver’s license and comfort running errands or driving for work purposes.
- Comfort and eligibility to drive a 12‑passenger van (valid driver’s license required).
- Multilingual skills are a plus.
- Experience in event coordination and hospitality (catering, restaurant, or hotel services).
- Knowledge of the dance and/or performing arts field.
