DescriptionThe International Academy for the Brain (iBRAIN-Academy) is one of the largest brain-injury special education programs in the world. iBRAIN-Academy’s mission is to research, develop,and implement special education and related services for school-aged (3 to 21 years of age) students, as well as the development of a fully inclusive education model, predicated on our Common Planning and Clinical-Educational Grand Rounds Model. iBRAIN-Academy is headquartered in New York City with current locations in Manhattan, Brooklyn and Washington,D.C. iBRAIN is expanding to add an out-patient clinic (iBRAIN-Center), as well as growing its research efforts for the brain injury and brain-based disorders community (iBRAIN-Institute).Consistent
with its mission and goals, iBRAIN’s Postgraduate Continuing Education Program offers postgraduate continuing education and training opportunities to its dedicated staff and the broader professional community. Through this program, innovative, professional, intellectual,and creative development among professionals is key. In this way, learners who participate iniBRAIN’s Continuing Education programs will be able to grow both individually and as professionals to collectively move the world of special education and rehabilitation forward.
Under the supervision of the Director of Professional & Continuing Education, the Administrative Support Coordinator will provide essential administrative and operational support to the Director. This role is crucial in ensuring the smooth and efficient operation of iBRAIN PCE programs, educational offerings and services. Assisting with the coordination of daily activities, managing communication, and providing logistical and organizational support to help meet program objectives and departmental goals is expected.
Additionally, the Coordinator will support the Director in the planning, development, and execution of a wide range of professional development and continuing education programs,including managing schedules, coordinating instructors, and tracking participant progress.

Responsibilities- Provide general administrative support to the Director of Professional and Continuing Education, including scheduling meetings, managing calendars, and preparing documents
- Assist with the preparation and editing of accreditation and other reports,presentations, and other documents as needed
- Serve as a point of contact for internal and external communications related to PCE.
- Draft, proofread, and send routine correspondence, such as email updates,newsletters, and Director of PCE announcements to stakeholders
- Assist with the promotion and marketing of programs through various channels, including social media, email, and flyers.
- Provide on-site or virtual support during events to ensure smooth operations.
- Help with the planning and execution of programs, workshops, and events for professional and continuing education
- Coordinate logistics, including venue booking, equipment setup, and materials preparation
- Track participant registration, communicate with participants, and handle inquiries related to courses and events
- Assist in organizing and coordinating events, including webinars, conferences, and workshops, ensuring all logistics are in place and attendees have the necessary information.
- Coordinate with instructors, guest speakers, and other staff involved in PCE programs to ensure timely communication and smooth program delivery.
- Maintain accurate records of participant information, program activities, and financial transactions
- Assist with tracking budgets and expenses for various programs and ensuring that financial documentation is in order
- Keep track of and distribute PCE transcripts upon request by participants
- Using accreditation standards, ensure records and data for the PCE program meets industry standards
- Perform other related administrative tasks as assigned by the Director of PCE.
- Bachelor’s degree in education, business administration, communications, or related field.
- At least 2 years of experience in administrative support, program coordination, or a related role (educational or program management setting preferred).
- Strong organizational and time management skills.
- Detail-oriented with the ability to manage multiple tasks and prioritize effectively.
- Proficiency with Learning Management Systems (LMS), Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with basic data management systems.
- Strong communication skills, both written and verbal.
- Ability to work independently and collaboratively with various stakeholders.
