Position Overview

We are seeking a College Counseling Office Coordinator/Testing Coordinator. This is a full‑time, 12‑month administrative position, and reports to the Director of College Counseling. Anticipated start date:
March 2, 2026. The College Office Coordinator will support the College Office in all administrative tasks required in the execution of the college process. As the Testing Coordinator, this person will also handle all essential details in the administration of standardized testing (PSAT/NMSQT, Advanced Placement (AP) exams, etc.) in the High School. This is an exciting opportunity to join a dynamic team and be an integral part of an established, progressive independent school community.

College Office Coordinator Responsibilities
  • Greet students, parents and visitors daily.
  • Maintain all statistical data relative to the college application process.
  • Maintain student and parent data in the data management system (Maia Learning).
  • Submit documents through Maia Learning (and other platforms) to colleges, including transcripts and letters of recommendation.
  • Coordinate college office events and be available for various evening on‑campus events.
  • Handle the planning, logistics, and execution of College Counseling student/parent programs.
  • Produce internal reports, documents, publications, and presentation drafts for faculty, students, parents, and Board of Trustees for College Counseling.
  • Manage calendars, including scheduling and hosting visiting college admission officers and arranging follow‑up calls.
  • Track office expenses, reimbursements, and periodic budget reports.
  • Work closely with the High School Office to maintain the accuracy of student data.
  • Prepare physical and electronic mailings.
  • Maintain and update the College Counseling portion of the Dalton website.
  • All other duties and tasks that may be assigned by the Director of College Counseling.
Testing Coordinator Responsibilities
  • Order all testing materials for AP, PSAT, Oxford Bridge, and any other college admissions exams.
  • Secure and train exam proctors and communicate schedule and any changes.
  • Work with High School Office and Facilities for exam location set up.
  • Work with the school’s Learning Specialist regarding students who need testing accommodations; proctor multi‑day testing as needed.
  • Follow all required procedures for material handling and exam administration:
    • Check, sort and prepare exam materials (daily for two weeks of AP exams, plus Late Testing).
    • Assist proctors and troubleshoot AP exam locations daily.
    • Complete required paperwork for shipping of exam materials.
  • Communicate with parents, students and faculty regarding exam schedule and changes to overall academic schedule, exam fees and/or registration, and time and location of exams.
  • Coordinate with Dalton’s Business Office on exam billing.
Qualifications
  • Associate’s Degree required, Bachelor’s degree preferred.
  • Commitment to maintaining confidentiality.
  • Strong attention to detail.
  • Discretion in communication across constituents.
  • Familiarity with Maia Learning (or similar software, i.e. Naviance, SCOIR, etc.).
  • Excellent interpersonal skills.
  • Ability to work in a fast‑paced environment and juggle conflicting priorities.
