University Assistant Director of Student Records, Office of University Registrar

POSITION DETAILS

The Office of the University Registrar (OUR) within the Office of Enrollment Management supports the academic integrity of The City University of New York (CUNY) by administering student records, enrollment-related technologies, and university-wide academic processes. Based within the Central Office, OUR partners with CUNY’s 26 campuses to enhance student success, streamline academic operations, and uphold institutional policies.

Reporting to the University Associate Director for Student Records, the University Assistant Director of Student Records applies subject matter expertise in student records and enrollment operations to support university-wide processes. The role serves as a primary point of contact between the University Registrar and campus registrars, maintains key academic and policy documentation, and works extensively with enterprise systems including CUNYfirst (People Soft-based ERP), Degree Works, and related applications.

The University Assistant Director contributes to both strategic projects and operational activities that ensure the accuracy of student records and the efficiency of academic processing across CUNY campuses.

In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:

  • Maintain and update curriculum and academic policy documentation, including drafting, implementing, and monitoring for accuracy and consistency.

  • Administer daily operations involving Coursedog, CUNYfirst Campus Solutions, Schedule Builder, Degree Works, National Student Clearinghouse, and related platforms; participate in system enhancements, launches, and support activities.

  • Supervise and mentor Student Records Coordinators and assigned OUR staff, providing clear direction, guidance, and ongoing support to ensure effective operations and team development.

  • Facilitate university-wide processes such as transcript automation, Excelsior Scholarship verification, and National Student Clearinghouse reporting.

  • Process and verify course and curriculum updates through CUR, ensuring accuracy and compliance with institutional requirements.

  • Develop, run, and distribute reports from the Student Records module in CUNYfirst; assist with reconciliation and dissemination of university-wide student data.

  • Contribute to the development, documentation, and application of OUR policies and procedures.

  • Investigate and resolve system-related issues; deliver training and provide technical guidance on CUNYfirst and Coursedog to campus users.

  • Represent OUR in internal and external meetings, as needed.

  • Perform other related duties as required.

NOTE:

Until further notice, this position is eligible for a hybrid work schedule.

QUALIFICATIONS

Minimum:

Bachelor's degree and four years' related experience required.

Preferred:

  • Master’s degree in higher education administration or in a related discipline.

  • Four years’ experience working with student records operations, college registration, academic credential evaluation, and/or computerized registration systems.

  • Demonstrated experience supervising and mentoring staff, with the ability to support team performance and development.

  • Detail-oriented with knowledge of registration-related technical platforms.

  • Proficiency in national standards for academic records, policy, and procedures, with familiarity of issues typically associated with curriculum, governance, transfer requirements, and transcripts.

  • Experience with People Soft Campus Solutions frameworks and databases, People Soft Query, SQL, and ERP/CRM solutions as related.

  • Strong research, evaluative, and analytical and time/project management skills.

  • Commitment to excellence in customer service, with exceptional communication skills and proven ability to collaborate with stakeholders at all levels.
