Job SummaryThis position serves as Assistant to the Head of Middle School, All‑School Attendance and Health Records Officer, and All‑School Receptionist.
Reporting Relationships- Reports to the Head of Middle School for Middle School matters
- Reports to the relevant Division Head for attendance and health form responsibilities
Job Responsibilities Assistant to the Head of Middle School
- Collaborate with the Middle School Head to plan and execute events throughout the academic year, including registration, parent/teacher conferences, parent events, dances, field trips, and the end‑of‑year moving‑up ceremony
- Manage the Middle School Head’s calendar and meetings
- Manage the Middle School calendar and faculty meetings
- Handle correspondence for the Middle School
- Aid in tracking budgetary needs
- Manage the Middle School Student Information System
- Monitor midterm and final exams and transcripts
- Provide coverage during study halls or classrooms as needed
- Assist the Head of Middle School in curriculum and schedule planning over the summer for the following year
- Receive initial calls to the school via the main phone line and distribute calls as necessary
- Manage and follow up on daily parent/guardian email and phone communications regarding attendance matters
- Maintain attendance records daily and throughout the year in the School Information Management System
- Meet regularly with Division Heads to review attendance practices and ensure accurate records
- Oversee all health form information for the student body
- Ensure all vaccination records and annual health forms are up to date, contacting parents as needed
- Track all allergies for the school and ensure any Epi‑Pens or other medications are onsite
- Submit the annual vaccination and health form report to NY State
- Support various school‑wide administrative duties as requested
- In July, will be assigned the annual book inventory in preparation for the audit
- Occasional school events may require work evenings or weekends
This role requires a self‑starter and a collaborative team member with strong organizational, time‑management, and problem‑solving skills, as well as the ability to handle multiple tasks. An ideal candidate has a positive attitude, is sociable, enjoys working with children, and is highly motivated. Requires a high level of professionalism, ethical integrity, and emotional intelligence with an open communication style and collaborative approach.
Requirements- Associate's (A.A.) degree or higher
- Complete First Aid and CPR certification prior to school starting in September 2026
- Apply for and complete the NY State Notary Public examination prior to school starting in September 2026
- Prior experience planning and working with children, such as camp counseling experience
- Proficiency with various school management software/databases
- Skilled in the use of Google for Education
