Position Summary

The Academic Office Administrative Assistant provides comprehensive administrative support to the Associate Heads of School for Academic Programs and the Director of Studies. The role coordinates with the Admissions Office Manager/Registrar, maintains student records, manages communications with families, updates the school website, and assists with scheduling, grading, and school-wide events.

Core Responsibilities
  • Provide administrative support to the Associate Heads of School for Academic Programs and Director of Studies in coordination with the Admissions Office Manager/Registrar.
  • Serve as DSO (designated school official) for the School in SEVP (Student Exchange Visitor Program).
  • Assist in preparing international student I‑20 forms and maintain records.
  • Send correspondence to families on academic matters, as directed by the Associate Head for Academic programs and Director of Studies.
  • In coordination with the Registrar, maintain student records in the School’s Student Management System, Rediker/Admin Plus/Plus Portals.
  • Respond to emails and phone inquiries and sign in visitors to the school.
  • Serve on school committees as appropriate.
  • Update the School website as needed in correlation with the Director of Communications.
  • Assist in fulfilling transcript requests for current students and alumni.
  • Assist the Director of Studies with course registration and the scheduling of classes for the academic year.
  • Coordinate with the Director of Studies on quarterly grades and comments. Send internally for proofing and final copies to families.
  • In coordination with the College Counselor, maintain student records in college online portal, SCOIR.
  • Send student application materials; submit through online portal.
  • Assist Dean of Students with student attendance.
  • Along with many others assist with planning and implementing school-wide events.
  • Other duties as assigned.
General Responsibilities

Darrow School faculty and staff are expected to be fully engaged in boarding school life beyond the academic day, supporting students in a range of co‑curricular programming including athletics, residential life, weekend activities, and signature programs like Hands‑to‑Work and Spring Term.

You may be expected to engage in school and individual assignments as designated by the Head of School and which boarding school life demands. You may be expected to be on campus and participate in flagship events such as convocation, family weekends/teacher conferences, baccalaureate, and commencement. Attendance at and participation in opening faculty meetings, student registration, and year‑end faculty meetings, may also be required.

Qualifications
  • Exceptional managerial, organizational, and communication skills, both oral and written.
  • Ability to work effectively in a fast‑paced office with students, teachers, administrators, visitors, and staff.
  • Willingness to be involved in the life of the school community.
  • Proven ability to collaborate, effectively communicate, work independently.
  • Professional, service orientation toward work.
  • Valid driver’s license.
  • Legally authorized to work in the United States.

Must frequently lift and/or move up to 25 pounds. Must be able to work in the heat and cold as well as environments with adverse conditions including dirt, dust and pollen, odors, sun, wetness, humidity, rain, and noise.
