Position Summary:
The Admissions Specialist is the first point of contact for prospective applicants and is central to ensuring they have an exceptional and valuable first experience with the Katz School. Providing informed, engaged, and efficient interactions with prospective applicants is essential. The process starts with understanding an applicant’s goals, the ability of our programs to help them reach those goals, and their readiness to succeed in a graduate or professional program.
The Admissions Specialist represents graduate and professional programs in several areas, including Science and Technology, Management, Business, Health, and Nursing. The role works with applicants at all stages of the enrollment process: from inquiry to application to enrolled student. This role is responsible for inbound and outbound communication activities; organizing and leading on-campus and online information sessions; and supporting the recruitment team at off‑campus events.
Position Responsibilities:
Reporting to the Director of Graduate Enrollment and Admissions, the Specialist is responsible for the following:
- Serve as a knowledgeable and welcoming first point of contact for prospective students, providing clear, accurate, and personalized guidance on programs, admissions requirements, and pathways to enrollment.
- Engage prospective students with warmth, professionalism, and timely responsiveness across all communication channels—including phone, text, chat, and other digital messaging platforms—with a consistent focus on their individual goals and needs.
- Prioritize outreach and follow‑up based on each prospect’s stage in the enrollment process, level of engagement, readiness to apply, and program fit, ensuring that attention is directed where it can be most helpful to students and most consequential to enrollment goals.
- Maintain accurate and complete records of all prospect interactions, events, and application activity in Hub Spot (CRM), ensuring consistent follow‑up, appropriate prioritization, and timely progression through the enrollment process.
- Contribute to the planning and execution of admissions events, coordinating content, participants, and logistics for both in‑person and virtual formats.
- Review applications and process admissions decisions for assigned programs.
PRODUCT KNOWLEDGE:
Maintain a working knowledge of the following:
- Each program’s curriculum, faculty expertise, student research and projects, and notable campus experiences.
- Student outcomes, including licensure rates, career placements, salary data, internships, and capstone projects.
- Current job market trends and employer expectations relevant to each program area.
- New York City is a destination for career launch and professional growth.
- The priorities and pressures facing working professionals seeking to advance or change careers while managing graduate study.
- The motivations and considerations of recent college graduates pursuing advanced degrees to specialize, change fields, or expand career prospects.
- The distinct needs of international students include visa processes, adjustment to U.S. graduate academic culture, and STEM OPT eligibility.
- Graduate financing options, including financial aid, scholarships, and employer‑sponsored tuition benefits.
SCHEDULE AND TRAVEL
- Schedule flexibility—including regular evening and weekend availability—is essential to serving prospective students in the annual admissions cycle.
- Local and U.S.
-based travel may be required on a periodic basis to support recruitment team activities.
Experience & Educational Background:
- Minimum two years of progressive experience in graduate admissions or enrollment management.
- Knowledgeable in at least one related program area.
- Strong public speaking and presentation skills; ability to engage effectively with prospective students and academic advisors.
- Proficiency with CRM systems (e.g., Salesforce, Hub Spot, etc.), Microsoft Office, and virtual conferencing platforms; working familiarity with generative AI tools.
- Ability to manage a varied workload independently, set priorities, and follow through with minimal supervision.
- Commitment to student success, equity, and a candidate experience that is welcoming, honest, and helpful.
