Overview

Integration Charter School is dedicated to providing innovative pathways to college that fully integrate students living with emotional challenges and others with special needs. ICS strives to fill gaps in public education and, when fully realized, will offer Staten Island families of special needs children a rich array of options in partnership with local public schools.

Summary

Reporting to the School Principal with a dotted line to the Managing Director of Operations and/or his/her designee, the operations associate will serve as the direct point of contact for families and assist in the overall operational tasks of the school. The position functions as the backbone of non-instructional operations in a fast-paced, school-based environment.

Responsibilities
  • Assist in establishing a high standard of operational excellence throughout the school building.
  • Assist in creating school operational systems and structures that support smooth operation.
  • Assist with the student registration process, including School Mint, collecting documents, making phone calls.
  • Support all recruitment efforts.
  • Answer phone calls, take messages, place outgoing calls, and send mass communications when delegated.
  • Initiate and track office supply orders.
  • Maintain accurate records of orders and inventory in supply closets.
  • Develop process plans for events as directed by school leadership and/or network operations team (e.g., Open Houses, Graduations, Student Events).
  • Coordinate and manage data analysis and reporting.
  • Coordinate and manage all student transportation, including daily bus check-in/out, metro cards, bussing, and door-to-door bussing.
  • Maintain School Calendars for OPT Website & Google Calendar for each school.
  • Ensure memos, notices, and other school-specific documents are delivered and processed daily.
  • Assist the operations team with special/time-sensitive projects throughout the year (e.g., year startup, assemblies, end-of-year closeout).
  • Help create a warm, nurturing and professional school culture.
  • Maintain school systems and files: ATS, Power School, School Mint, Parent Square, Scholarchip, and OPT.
  • Coordinate PTO coverages and lunch coverages.
  • Maintain compliance for immunizations.
  • Perform additional duties as designated.
Qualifications
  • A "whatever it takes" attitude, centered on the notion of “children first.”
  • Bachelor's degree, preferred.
  • Strong written and verbal communication skills.
  • High level of organizational skills; detail-oriented with ability to follow through in a fast-paced environment.
  • Thorough understanding of best practices in school-based operations.
  • Understanding of student-achievement data and New York Charter School Standards.
  • Ability to use tech platforms such as Kickboard, Power School, Google Drive to track data and communicate with the school community.
  • Belief that every child can succeed, with high expectations for students, staff, and oneself to support student success.
  • Ability to model social-emotional skills such as openness to feedback, listening to new perspectives, and trying new approaches for student growth.
  • Willingness to engage in professional learning around diversity, equity, and inclusion.
  • Leadership mindset: taking ownership of creating a thriving, joyful school community rooted in ICS Core Values.
