ROLE OVERVIEW
Our live event division produces shows that expand the conversation, stories, and voices that leave audiences more connected, aware, and inspired. We re producing a high-profile live fashion competition for a major entertainment brand this summer—and we need someone who knows how to find extraordinary talent, guide them through a multi-stage selection process, and deliver them to the stage ready to shine.
As our Live Event Talent Producer, you ll own the entire competition pipeline—from sourcing and outreach through selection, onboarding, and on-site production, including VIP and celebrity coordination.
- Outreach efforts to colleges, programs, and communities, consistently generating high-quality submissions that align with the show’s creative and eligibility requirements.
- Selected contestants are clearly communicated with, fully onboarded, and arrive at event week prepared, informed, and confident.
- Contestants feel supported, respected, and well-informed throughout the process — from first outreach through post-event follow-up.
- On event days, contestants’ operations run calmly and efficiently, with issues resolved quickly and discreetly without impacting the show experience.
- Your work on the competition serves as the foundation for expanded talent responsibilities across the entire event.
- You ve managed large talent pools—whether in unscripted competition, casting, pageants, or live entertainment—and you know how to move people through a structured selection process without losing the human touch.
- You are systems-first: you love building simple workflows (templates, trackers, comms cadences) that scale.
- You know how to talk to high-profile talent, judges, clients, and crew with equal confidence and warmth.
- You are highly discreet, professional, and trusted with sensitive information.
- You re calm under pressure and resourceful when plans change at the last minute.
- You write clearly and follow through - your recaps, deadlines, and next steps keep everyone aligned.
- Lead contestant sourcing and outreach, including partnerships with relevant colleges and institutions, development of outreach materials, and execution of an effective applicant cadence.
- Own contestant intake and selection operations end to end, including eligibility screening, applicant communications, centralized tracking (Airtable), timelines, and decision documentation.
- Design and deliver a high-quality virtual contestant and judging experience, including platform setup, judge onboarding, scoring rubrics, scheduling, technical readiness, and contingency planning.
- Notify and onboard selected contestants, managing communications, deliverables, and readiness through the onsite event.
- Experience managing large talent pools in entertainment, casting, or live events—you ve moved a high volume of people through a structured selection process.
- Strong prioritization and time management skills.
- Ability to create and manage a database of contestants and metabolize client notes with grace.
- Professional discretion, organization, adaptability, and meticulous attention to detail.
- Ability to work nights and weekends as needed.
- Experience in unscripted casting, competition show production, or segment producing.
- Genuine connection to fandom culture, pop culture, or the Broadway/entertainment community.
- Experience producing in large venue environments (arenas, convention centers, ballrooms).
