Contract Live Events On-Site Project Manager

The On-Site Project Manager owns the on-site execution of Wizard Studios events — install through strike. This role picks up a fully scoped production package (floor plans, pull sheets, run of show, and production schedule) from the Technical Project Manager and is fully accountable for running a safe, on-schedule show site: supervising crew, coordinating vendors, protecting company assets, and serving as the client’s and venue’s primary point of contact for the duration of install, show, and strike.

This role does not own pre-production planning, budgeting, or the sales relationship — it owns what happens on the ground once the team is on site.

ON-SITE PRODUCTION & EXECUTION

Oversee comprehensive install, show, and strike for audio, video, lighting, staging, and fabrication elements, per the confirmed floor plan, pull sheet, run of show, and production schedule.

Communicate continuously with team/department leads throughout install, show, and strike to keep every element on schedule; proactively flag and resolve delays or curveballs.

Supervise the crew during installation, event, and strike, delegating tasks as appropriate.

Coordinate on-site communications (radios, clear-com) across install, show, and strike.

Monitor the production timeline in real time and ensure all deliverables are checked off the execution list before doors.

Keep the client informed of event status throughout installation, the duration of the show, and strike/load-out.

Keep the PM informed of any additional client requests in real time to ensure they are invoiced to the client.

Supervise and coordinate day-of labor on the show site to ensure activities are completed safely, on time, and cost-effectively.

Ensure all crew members are signed in and out on the crew sheet

Ensure any overtime is submitted and approved by the PM before it occurs

Evaluate and provide same-day feedback on show-site labor, staff, and part-time/contract crew performance.

Monitor crew handling of equipment and venue spaces; reinforce proper technique and care of company assets.

Enforce dress code, professionalism, and safety standards on-site.

VENDOR & VENUE LIAISON

Serve as the primary on-site point of contact with the venue’s in-house AV partner and any external AV, staging, or fabrication vendors.

Coordinate with vendors on staffing plans, breaks, and day-of schedule changes.

Serve as the senior on-site escalation point for technical or delivery issues; escalate unresolved vendor or venue issues to the Technical Production Manager.

Maintain accurate equipment/asset counts on the show site.

QC the pull against the pack list/manifest at load-in and again before load-out.

Provide a marked-up floor plan and pack sheet to the load-out crew.

Ensure the safe, complete return of all equipment and unused materials.

SAFETY & COMPLIANCE

Implement and enforce Wizard Studios’ safety guidelines on every show site.

Confirm COIs, loading dock requirements, and venue-specific access/safety protocols are in place before load-in.

Immediately report safety concerns, incidents, or near-misses to the Technical Production Manager.

COMMUNICATION & REPORTING

Complete and submit a same-day on-site report at the end of every active event day (including load-in/out days) to the Technical Production Manager and Client Account Manager.

Participate in post-event debriefs; contribute on-site notes (what worked, what didn’t, vendor/crew performance) to the post-event report.

Upload event photos to the Project Manager and complete the Event Recap.

QUALIFICATIONS

3+ years of hands-on, on-site event production experience (audio, video, lighting, staging).

Prior experience supervising crews or day-of labor on live event sites.

Working knowledge of FLEX Rental Solutions, Asana, or similar systems to reference pull sheets, floor plans, and production schedules on-site.

Strong real-time problem-solving skills; comfortable making calls under pressure with no-fail execution.
