The Event Assistant will work closely with President & Creative Director Lindsay Landman, LLE's planning team, and the office as a whole, gaining hands-on exposure to every stage of the event process. The ideal candidate is exceptionally organized, detail-oriented, resourceful and enthusiastic, with excellent communication skills and a genuine interest in events, hospitality, luxury lifestyle, design and travel.

This is an opportunity to learn the business from the ground up while contributing meaningfully to a fast-paced, highly collaborative team producing sophisticated events in New York and destinations around the world.

Responsibilities

The Event Assistant will support the LLE team across all aspects of event planning, production and office operations, including:

  • Maintain and update client documents including event timelines, budgets, guest lists, vendor information, schedules and planning materials
  • Assist with client and vendor correspondence and follow-up
  • Support vendor communications, documentation and ongoing relationships
  • Research and source venues, vendors, products, materials, entertainment, travel resources and other event-related needs
  • Prepare presentations, proposals, schedules and other client-facing materials
  • Organize samples, materials, supplies and event-related inventory
  • Prepare, pack and organize materials for event days
  • Assist with event logistics, production schedules and vendor coordination
  • Provide on-site support at events, including setup, guest arrival, event execution and breakdown
  • Anticipate the needs of planners and proactively assist with event-related tasks and deadlines
  • Provide administrative and organizational support to the President and planning team
  • Assist with general office operations and special projects as needed

Because our work is highly customized, responsibilities will vary from event to event. The successful candidate will be comfortable jumping in wherever needed and will approach both large projects and small details with equal care.

  • Strong interest in pursuing a career in event planning, production and/or luxury hospitality

  • Excellent written and verbal communication skills
  • Confident, polished and professional communicating by both email and phone
  • Highly organized, with the ability to manage multiple priorities and deadlines simultaneously

  • Comfortable taking direction while also developing the judgment to anticipate what needs to happen next
  • Calm, pleasant and solutions-oriented under pressure
  • Able to maintain professionalism in demanding, fast-moving and sometimes stressful event environments
  • Strong interpersonal skills and an ability to interact comfortably and professionally with clients, vendors, guests and colleagues
  • Genuine interest in luxury lifestyle, hospitality, design, food, travel and service
  • Willingness to work outside traditional business hours when required, including evenings and weekends for events
  • Willingness to travel for events as needed
  • Command of day-to-day office technology including Google Drive and Microsoft Office; working knowledge of Adobe Creative Suite is an asset but not required
