Your role
:
The Team Administrator will lead operational, client service, and administrative functions for a high-performing financial advisor team serving ultra-high-net-worth clients. This individual serves as the operational backbone of the team—ensuring execution, leading risk and compliance initiatives, and delivering a seamless client experience. The ideal candidate is a seasoned operations professional with deep knowledge of wealth management processes, strong leadership capabilities, and a technology-forward mindset.
- Operational Leadership & Execution:
Act as the primary owner of operational execution, controls, and risk management for the advisory team, ensuring accuracy, timeliness, and adherence to regulatory and firm standards. Establish, refine, and enforce operational workflows, controls, and best practices in a fast-paced environment and manage daily priorities while balancing long-term process improvements. - Client Service & Relationship Support:
Deliver white-glove service for ultra-high-net-worth individuals and family offices, partnering closely with financial advisors to anticipate client needs with discretion and responsiveness. - Account Administration & Transactions:
Oversee and execute administrative tasks including account openings, maintenance, transfers across multiple account types and entities, wires, disbursements, journals, and cash movements with precision and appropriate controls. Ensure timely and accurate processing of client account paperwork. - Compliance, Risk & Documentation:
Manage KYC, AML, REG BI and related compliance requirements across the client base, ensuring documentation, approvals, and supervisory processes meet regulatory and firm standards. Maintain strong controls around sensitive transactions and client data; collaborate with compliance, legal, risk, and surveillance teams. - Team Leadership & Development:
Manage and develop operations and client service team members, setting priorities, workflow standards, and performance expectations. Foster a high-accountability culture focused on excellence, efficiency, and client satisfaction in a dynamic, in-office environment. - Technology, Systems & Innovation:
Serve as the team’s operations technology lead, with knowledge of platforms and workflows. Implement firm-approved tools, platforms, and AI-driven solutions to drive efficiency, reduce risk, and enhance client experience.
- Series 7 and 66 licenses
- Bachelor’s degree
- Significant experience in wealth management, private banking, or financial advisory operations, preferably supporting ultra-high-net-worth individuals or family offices
- Expertise in account administration, trading, cash management, and compliance processes
- Strong working knowledge of industry rules, regulations, and operational controls
- Deep understanding of broker-dealer operations, trading, cash management, and compliance requirements
- Proven experience leading and developing operations or client service teams
- Ability to operate confidently within large firm processes and approval structures with sound judgement and attention to detail
- Excellent organizational and execution capabilities in a high-volume, high-touch environment
- Technology-forward mindset with comfort adopting firm-approved platforms and AI-enabled tools
- Strong problem-solving skills and ability to craft compliant solutions to complex client needs
- Excellent written and verbal communication
