Job Summary

Retirement Plan Services Onboarding Lead is responsible for overseeing retirement plan conversions, takeovers, and ongoing administrative operations for newly won plans. This role ensures successful plan transitions, compliance with regulatory requirements, operational excellence, and exceptional service delivery to Plan Sponsors, financial advisors, and internal stakeholders. The Onboarding Lead contributes to the team’s knowledge base on retirement plan administration, process development, and industry regulations.

This role is inclusive of both retirement advisory services, as well as TPA services provided by Earned. In addition, the Onboarding Lead is responsible for supporting existing clients who are changing retirement recordkeepers by working with the existing and new recordkeepers to successfully transition the retirement plan. This role works closely with clients to support all facets of plan onboarding. The Retirement Plan Services Onboarding Lead ensures accuracy, compliance with applicable regulations, and high‑quality client service while managing multiple priorities in a fast‑paced environment.

Key Responsibilities
  • Reconcile plan assets and ensure accuracy between trust records and plan data.
  • Determine individual and plan contribution limitations in accordance with applicable regulatory requirements.
  • Maintain compliance with company policies, regulatory standards, and industry best practices.
  • Apply sound judgment and initiative in resolving issues while maintaining professionalism and tact.
  • Collaborate with team members to promote cooperation, productivity, and confidence within the organization.
  • Foster strong relationships with the sales team and service team to further develop cohesive interactions.
  • Oversee the preparation and execution of start‑up and takeover plan documents and conversion projects.
  • Collaborate with various recordkeepers and service providers to ensure retirement plans are established accurately and efficiently.
  • Analyze conversion data, payroll, and census files to ensure accuracy and consistency, while proactively communicating any issues to Plan Sponsors, as well as internal/external stakeholders for a successful transition.
  • Proactively identify and communicate issues, risks, and discrepancies to Plan Sponsors and internal/external stakeholders to facilitate successful plan transitions.
  • Manage project timelines and coordinate resources to ensure timely completion of implementation activities.
  • Address client concerns and provide guidance on operational, compliance, and administrative issues.
  • Ensure accurate and timely updates within the client relationship management system to support reporting and workload management.
  • Provide technical guidance regarding retirement plan compliance requirements and administrative best practices.
  • Assess operational risks and implement controls to minimize company exposure and liability.
  • Ensure compliance with applicable regulations, plan provisions, and company standards.
  • Support product development initiatives and operational process optimization efforts.
  • Participate in the creation and enhancement of internal policies, procedures, and service standards.
  • Identify opportunities to improve efficiency, accuracy, and the overall client experience.
  • Collaborate with cross‑functional teams to develop scalable solutions that support organizational growth.
Key Requirements
  • Bachelor’s degree in Business Administration, Finance, Accounting, Human Resources, or a related field, or equivalent work experience.
  • 7‑10+ years of experience in retirement plan administration, recordkeeping, third‑party administration (TPA), or related retirement services.
