JOBSUMMARY
Reporting to the Chief Financial Officer (CFO), the Director of Finance & Administration (DFA) will be responsible for management of all finance, accounting and reporting activities as well as contribute to long-term strategic and analytical input to organizational financial matters.
The Director of Finance & Administration will lead all day-to-day finance operations of a budget of $8 million and supervise the Senior Staff Accountant including functional responsibility over accounting, accounts payable, accounts receivable, payroll, the month end closing process and grants administration. The Director of Finance will ensure that BBBS has the systems and procedures in place to support effective program implementation and conduct flawless audits.
The Director of Finance will work closely with program leaders and their teams, not only to educate them regarding finance and accounting procedures but also to explore how the finance function can support program operations.
Finance:
- Oversee all accounts, ledgers, and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements
- Manage general ledger and monthly close; oversee accounting records retention
- Produce financial data and analysis for organizational reporting, including monthly program budget versus actual reports, quarterly and annual reports, board reports, and donor reporting
- In collaboration with the CFO work with auditors to prepare and ensure the filing of annual financial statements and relevant tax documentation, including tax returns, 990, and contractor/vendor forms; coordinate all activity to support audits
- Maintain depreciation schedule, ensure that it is reflected in budgeting and planning processes
- Track receivables, liabilities, assets and monitor interest-bearing accounts
- Participate in grant reviews, maintain tracking inflows and outflows of restricted and unrestricted funds
- Maintain and/or create financial tracking tools to facilitate fiscal management of grants and contracts
- Contribute to grant proposal budgets and provide other relevant financial information for business development efforts
- Prepare grant and contract invoicing/billing
- In collaboration with the CFO facilitate cross-team and staff trainings based on current needs and priorities
- Oversee all financial, project/program and grants accounting; ensure that expenditures are consistently aligned with grant and program budgets throughout the grant/fund period; collate financial reporting materials for government, corporate, and foundation grants
- Work with programs, campaigns, operations, and development teams as needed to ensure harmonization of financial processes and documentation
- Maintain internal control and safeguards for receipt of revenue, costs, and program budgets and actual expenditures monthly, quarterly, and annual financial statements; monitor progress and changes in collaboration with the CFO
- Partner with the CFO in the annual budgeting and planning process; administer and review all financial plans and compare to actual results with a view to identify, explain, and correct variances as appropriate
- Support the CFO in engaging the board’s audit and finance committees around issues and trends in financial operating models and delivery
- Support the CFO in managing BBBS cash flow forecasting by working in partnership with the development team; continuously collaborate with Program Directors to assess the financial efficacy of program operations and establish finance and administrative systems to support program operations
- Manage and track the performance of invested assets in keeping with policies and investment guidelines
- Assist in updating the organization’s fiscal manual to best reflect current needs and practices
