Duties Description

The New York State Archives Partnership Trust, within the Office of Cultural Education at the New York State Education Department (NYSED), seeks to fill the position of Executive Director. The New York State Archives Partnership Trust (the Trust) is a 501(c)(3) not-for-profit organization and a public benefit corporation created to support and advance the work of the New York State Archives.

The Trust secures private funding to build an endowment and to underwrite educational, awareness, and preservation projects that expand public access to, understanding of, and use of the New York State Archives. The Trust operates a statewide program and partners with history and community organizations to advance New York State history while incorporating records from the New York State Archives to promote and educate about the state’s rich history.

The New York State Archives, within the Office of Cultural Education, identifies, preserves, and makes available more than 300 million records of colonial and state government that have enduring value to all citizens.

The Executive Director reports to the Board of the New York State Archives Partnership Trust and works under the general direction of the New York State Archivist to ensure Trust operations and programs are aligned with the mission and needs of the New York State Archives.

Duties include, but are not limited to, the following:

  • Manages the day-to-day operations of the Trust including all development and on-going outreach efforts;
  • Supervises Trust staff, currently including five full-time associates;
  • Serves as a senior member of the State Archives leadership team;
  • Oversees all components of raising endowment and special project funding, including marketing, building the annual giving and planned giving programs, planning and carrying out special events in support of development, grant writing, and soliciting funds from individual, foundation, corporate and public sources;
  • Provides support for and development of the Trust’s stewardship program, which recognizes individuals who have provided higher levels of financial support;
  • Works with staff to identify potential donors and partners, including preparing prospect lists for evaluation and assignment to Board members, the State Archivist or others. Plans cultivation and solicitation strategies;
  • Works with State Agencies and Local Governments on outreach and promotional activities to highlight archival records and sound records management practices;
  • Prepares grant applications to public and private organizations to support the work of the Trust and the State Archives and provides appropriate reporting and accountability to granting organizations;
  • Develops the annual work plan and budget for Board review and approval;
