Position Summary

We have an exciting opportunity to join our team as a Medical Secretary – Manhattan Outpatient Pediatrics, Temporary. In this role, the successful candidate is responsible for providing basic support services for Medical Office intake operations. Assist with post‑visit inter‑departmental scheduling for patient visits, treatments, and procedures in collaboration with other areas within the Medical Center. Obtain pre‑authorizations/certifications for treatments and diagnostic procedures as appropriate.

May provide assistance to less senior staff and cover the front‑desk as needed.

Job Responsibilities
  • Maintain and receive files for the area. Maintain files in an organized and up‑to‑date manner to facilitate retrieval. Complete filing in accordance with departmental procedures. Sort and distribute documents and forms for the area section. Distribute materials according to content of communications and departmental procedures. Log materials with reference to time and data when applicable. Process incoming and outgoing documents. Complete forms neatly.

    Secure appropriate signatures and forward documents/forms to the correct destination based on pertinent Medical Center procedures. Maintain copies for files. Fax documents in accordance with departmental procedures.
  • Provide reception assistance (e.g., greet patients, answer calls, direct requests for assistance to the proper individual). Screen telephone callers in a pleasant and professional manner; handle calls; take messages or direct callers to the appropriate person or area.
  • Schedule routine appointments and follow‑ups for visits and procedures that do not require pre‑authorization or have already been authorized. Prepare the daily schedule. Refer all inquiries regarding pre‑authorizations/certifications to the Medical Secretary.
  • Maintain supplies and cleanliness of the space, restock supplies as needed. Notify supervisor of any shortage of supplies.
  • Assist, provide guidance, and/or train less senior staff with completing intake‑related duties.
  • Prepare simple, routine memoranda letters, labels, routine manuscripts, correspondence, and other documents as needed. Review work for accuracy and completeness. May maintain a routine calendar, assist in basic preparation for conferences, and related duties.
  • Maintain workload statistics and other data for departmental records. Record statistics in established time intervals designated by supervisor. Follow instructions given by supervisor and prepare information neatly.
  • Primarily responsible for taking patient phone calls and scheduling over the phone. Greet and screen telephone calls in a pleasant and professional manner. Schedule appointments for visits, procedures, and follow‑ups. Collect patient demographic data, electronically verify insurance eligibility, coordinate pre‑authorizations as appropriate, take medical history, and assign appointment to the physician based on procedure and insurance coverage. Refer surgical and infusion scheduling to the Senior Medical Secretary.
  • Post patient‑appointment, coordinate inter‑departmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage, in compliance with physician directives. Collaborate with other areas of the Medical Center as well as insurance providers to obtain pre‑authorizations/certifications for treatments and diagnostic procedures, and ensure the patient is eligible at the time of their appointment. Refer to Senior Medical Secretary for scheduling related to surgery and infusion.
  • Responsible for pre‑authorizations and certifications with the exception of surgical procedures. Ensure that the appropriate procedure and diagnosis coding is utilized in the pre‑certification and verification process and question physicians, if appropriate, to ensure accuracy and completeness of information.
  • Perform other related duties as needed by providers and supervisors.
