Summary:

The Implementation Coordinator serves as the critical transition point between the Sales and Implementation teams, ensuring new client implementations are set up for success. This role is responsible for reviewing implementation submissions within Salesforce to verify completeness, accuracy, and readiness for implementation. Responsibilities include validating required documentation, reviewing account setup information, confirming billing fee configurations, and ensuring all necessary information has been collected.

The Implementation Coordinator partners closely with Sales to resolve discrepancies, obtain missing information, and address any issues that could impact implementation timelines or client satisfaction. Once all requirements have been met, the coordinator assists in transitioning the implementation package to the assigned Project Manager for execution. This role supports the successful onboarding and implementation of COBRA and reimbursement account programs, including Flexible Spending Accounts (FSA), Health Reimbursement Accounts (HRA), Health Savings Accounts (HSA), and Qualified Transportation Benefits (QTB).

Responsibilities:
Review implementation submissions to ensure all required documentation, Salesforce account information, and billing configurations are complete and accurate. Validate client paperwork and implementation materials to confirm all required information has been submitted and properly completed. Collaborate with Sales representatives to obtain missing information, correct discrepancies, and resolve submission issues prior to implementation handoff. Identify potential risks, roadblocks, or implementation concerns and communicate findings to the assigned Project Manager to support a successful implementation.

Send implementation acknowledgment communications to new clients through a designated email inbox, confirming receipt of materials and outlining next steps in the onboarding process. Ensure implementation submissions meet established service standards, quality expectations, and internal compliance requirements. Maintain a high level of accuracy while managing multiple implementation submissions and deadlines simultaneously.

Minimum Qualifications:

1-2 years of experience in administrative support, client services, operations, implementation support, or a related field. Basic knowledge of employee benefits products, including COBRA, FSA, HRA, HSA, and commuter benefits, is preferred but not required. Basic knowledge of Salesforce or other CRM platforms is preferred but not required. Strong attention to detail with demonstrated ability to review, validate, and maintain accurate records and documentation.

Ability to work effectively across multiple systems and applications, with the aptitude to quickly learn proprietary software platforms. Excellent written and verbal communication skills. Strong organizational skills with the ability to prioritize responsibilities and manage multiple deadlines in a fast-paced environment. Excellent interpersonal skills and the ability to collaborate effectively with internal stakeholders across Sales, Operations, and Implementation teams. Proficiency with Microsoft Office applications, including Excel and Word;

experience with database management systems is a plus. Pay Transparency:
The typical base pay for this role across the U.S. is: $44.74 - $46.48/hr non-exempt positions are eligible for overtime at a rate of 1.5 times the base hourly rate for all hours worked in excess of 40 in a work week, or as required by state or local law. Final offer amounts, within the base pay set forth above, are determined by factors including your relevant skills, education and experience.
