Position Summary
The Culture & Hospitality Manager – Evening is responsible for cultivating the culture of the evening worship service and coordinating the hospitality and logistical elements. This person serves as the "front door" for the gospel by shaping a warm, welcoming, and seamless environment. As a key leader for the evening service, this person works closely with the pastoral and worship teams to develop a tone and rhythm that fit the unique character of the evening gathering—marked by genuine community, active participation, and attentive hospitality.
On Sundays, this role focuses on recruiting, training, and leading volunteer teams, as well as coordinating the logistics of the evening service. During the week, this person nurtures a welcoming culture through intentional, personal interactions with visitors and congregants.
Job Description
Champion Hospitality- Champion a culture of radical hospitality at the evening service, ensuring that every attendee—from the skeptic to the committed member—is welcomed warmly.
- Actively engage with congregants before and after the service, serving as a connector to help newcomers find community groups, service opportunities, or pastoral care. Receive feedback from participants.
- Lead announcements during the service periodically, communicating a culture of welcome and ensuring attendees know how to get further connected.
- Actively engage with congregants during the week, connecting people to communities within the church for growth and mission.
- Oversee the newcomer process for the evening service, ensuring visitor info is received, and follow-up workflows are executed promptly.
- Collaborate with the wider West Side staff team to align evening hospitality practices with the overall church vision and ministry goals.
- Recruit, train, and retain a robust volunteer base for the evening service, including Welcome Teams, Communion Servers, and Coffee Hour hosts.
- Manage the scheduling of all evening volunteers using Planning Center, ensuring all roles are filled weekly and for special services (e.g., Christmas Eve, Easter).
- Develop and implement training strategies to equip volunteers with a theological understanding of hospitality and practical service skills.
- Foster a healthy team culture by planning and executing volunteer appreciation events and regular communication to encourage and motivate the team.
- Identify and cultivate potential lay leaders within the evening congregation to take on captain/leadership roles.
- Oversee the end-to-end execution of the evening service operations, including venue set-up, signage placement, communion preparation, and tear-down.
- Collaborate with the Worship Director to schedule and pay musicians.
- Collaborate with the Worship Director to ensure the flow of the service (seating, movement during communion, offering) runs smoothly and distraction-free.
- Coordinate with other staff to order supplies for the evening service, including bulletins, communion elements, and coffee hour refreshments.
- Serve as the primary point of contact for evening logistics and troubleshoot issues as they arise with venue staff or vendors.
- Ensure the physical space is clean, safe, and inviting before doors open.
- Manage the operating budget for evening hospitality and volunteer needs, submitting expense reports in a timely manner.
