Role

The Sales Coordinator provides administrative support to the sales and catering management staff by performing a variety of support tasks conducive to the operation of the sales office and in providing all guests with exceptional hotel services. Special emphasis is placed on accommodating guest preferences, flexibility with work assignments, efficiency, quality, and social demeanor that contributes to a hospitable environment.

Specific Responsibilities
  • Provide pleasant and professional services to all hotel clients and guests.
  • Perform a variety of administrative support tasks.
  • Prepare internal and external correspondence with timeliness and accuracy.
  • Maintain current and accurate filing.
  • Answer all incoming phone calls in a friendly, courteous, and timely manner, using the appropriate greeting and providing knowledgeable, enthusiastic, and personalized service.
  • Maintain ongoing communication and collaboration with staff with the aim of achieving high levels of cooperation and service excellence.
  • Properly maintain all work equipment, tools, and supplies.
  • Respond to guest requests and inquiries with appropriate level of sensitivity and immediacy.
  • Comply with all department, hotel, and company policies and procedures.
  • Create BEOs and Contracts from Sales Managers detailing forms.
  • Call clients for sign and returns, credit cards, rooming lists, deposits and guarantees.
  • Input bookings into Opera and Delphi creating PMS#
  • Perform any task not outlined above that the associate has the ability to perform.
  • Any other duties set by Sales Managers, Event Specialist, Director of Sales and/or Managing Director.

Organization skills, detail oriented, hotel and catering experience a plus.
