Position Overview
This role oversees day-to-day benefits operations across health, retirement, and compliance programs. You will coordinate closely with HRIS, Payroll, and external vendors to maintain data accuracy, process enrollments and deductions, and resolve escalations.
Key Responsibilities- Responsible for the ongoing operation of US benefits programs, including day-to-day employee benefits administration through the external benefits platform, COBRA and subsidy administration, benefit reconciliations, and monitoring file feeds to ensure data accuracy and timeliness
- Work closely with HRIS and Payroll to maintain accurate benefit enrollments and deductions across multiple systems, including monitoring daily and/or weekly file feeds and error resolution
- Manage day-to-day administration for HSA/FSA plans and provide support for the annual 401(k) audit and ongoing ad hoc 401(k) audits, including responding to data requests through vendor service requests
- Collaborate with benefits vendors and partners to ensure effective delivery throughout the employment cycle and beyond, and in preparation for US annual enrollment
- Ensure timely and accurate completion of US compliance and auditing activities, as well as resolution of tickets and escalations assigned to the US Benefits team
- Provide support for compliance data and reporting such as Healthy San Francisco, MA HIRD, and other compliance reporting as needed
- Track and serve as the benefits liaison for transfers into and out of the US to ensure accurate reporting for benefits and 401(k) elections
- Manage all tasks to ensure accurate vendor billing and data reconciliation, invoicing, and benefits cost tracking
- Support US annual enrollment processes, including verifying rates for accuracy, portal design and testing, and development of communication materials
- Provide excellent customer service to employees and stakeholders by maintaining confidentiality and responding to sensitive inquiries in an accurate, timely, and consistent manner while showing professionalism, sound judgement, and empathy
- Provide recurring benefit program data and reports to internal and external partners
- Use technical expertise and judgment to gather, verify, and analyze data to engage and inform key stakeholders as needed, as well as to review and complete US compliance, filing, and audit deliverables
- 3+ years of experience administering U.S. benefits programs end to end, including medical, dental, vision, COBRA, HSA/FSA, and retirement plans
- Strong operational expertise in benefits systems, including managing enrollments, deductions, reconciliations, and monitoring file feeds across HRIS, Payroll, and vendor platforms
- Hands-on experience supporting compliance activities and audits (e.g., 401(k) audits, COBRA, subsidy administration, and state/local reporting such as MA HIRD or Healthy San Francisco)
- Demonstrated ability to partner effectively with HRIS, Payroll, Finance, and external vendors to resolve data issues, escalations, and service requests
- Experience supporting annual enrollment, including rate validation, system testing, vendor coordination, and employee communications
- Strong attention to detail and data accuracy, with the ability to analyze, validate, and report on benefits and compliance data
- Ability to manage multiple priorities and deadlines in a high-volume, operational environment
- Excellent customer service and communication skills, with the judgment and discretion to handle sensitive employee matters professionally and empathetically
