We are a globally based interim legal placement company specializing in recruiting and matching exceptional legal talent with sophisticated business clients. We are seeking an experienced Operations Administrator with recruitment experience to support clients, lawyer candidates, and internal consultants and operations. This role sits at the intersection of administration, recruitment coordination, and business operations, playing a critical role in ensuring a smooth candidate and client experience.
The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced recruitment environment supporting multiple stakeholders.
Key Responsibilities Recruitment & Candidate Coordination- Provide administrative and operational support to business development and legal recruitment personnel, including company leadership
- Coordinate interview scheduling across candidates, clients, and internal teams
- Act as a professional point of contact for candidates throughout the recruitment process
- Manage job postings, candidate documentation, and interview logistics
- Support offer processes, reference checks, and onboarding coordination
- Maintain accurate records in CRM/ATS systems
- Prepare, review, and manage candidate documentation, contracts, and compliance materials
- Support background checks, licensure verification, right-to-work documentation, and onboarding requirements
- Ensure compliance with internal processes and client requirements
- Assist with reporting related to placements, compliance, and onboarding
- Provide general administrative support including calendars, inbox management, and document preparation
- Support internal reporting, data tracking, and process improvement initiatives
- Assist with onboarding new hires internally
- Coordinate with finance and operations teams on placement documentation and invoicing support
- 5+ years of experience in an administrative, operations, or recruitment support role
- Direct experience supporting recruitment processes (agency or in-house)
- Strong administrative skills within a professional services environment
- High level of attention to detail and confidentiality
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with in a recruitment or staffing firm
- Exposure to legal recruitment or legal professionals
- Familiarity with CRM/ATS platforms
- Understanding of compliance requirements in staffing or recruitment
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Confident, professional client and candidate-facing manner
- Ability to manage multiple priorities in a deadline-driven environment
- Proactive, team-oriented approach
