Eligibility
Applicants must be permanent in the civil service title Clerical Associate.
Responsibilities- Perform data entry, record maintenance, document processing, and other administrative support functions within the bureau.
- Responsible for data processing activities related to personnel actions, onboarding, interview scheduling, and HR documentation.
- Ensure employee and HR records are processed, checked, and maintained accurately in accordance with agency procedures.
- Coordinate the preparation, review, and processing of HR‑related documents, including promotions, civil service list appointments, separations, employee leaves, onboarding packets, and personnel updates.
- Review and verify HR paperwork for accuracy, resolving discrepancies by communicating with staff and supervisors.
- Maintain and monitor bureau record‑keeping systems, ensuring confidential electronic and paper files are organized, updated, and compliant with retention requirements.
- Prepare routine reports and update bureau tracking logs related to hiring, onboarding, performance evaluations, and other administrative processes.
- Provide information to staff and supervisors regarding HR procedures, required documentation, and bureau administrative processes.
- Support bureau‑wide onboarding and employee engagement activities by coordinating materials, tracking completion of required forms, and assisting with logistics.
- Perform related clerical tasks, create job postings on Smart Recruiters, coordinate candidate interviews, and attend interviews as an HR representative to support the administrative operations of the Bureau.
- Four‑year high school diploma or an equivalent approved by a state department of education or recognized accrediting organization.
- One year of satisfactory clerical experience.
- Keyboard proficiency with the ability to type at least 100 key strokes (20 words) per minute.
- Two or more years working in Human Resources and familiarity with the city hiring process.
- Familiarity with the Civil Service Process.
- Excellent communication skills.
- Customer orientation and ability to adapt to different circumstances and responsibilities.
- Computer proficiency, including Microsoft Office Suite products (Word, Excel, PowerPoint) and Adobe systems.
- Familiarity with Customer Relationship Management (CRM) systems.
- Ability to multi‑task, prioritize, and manage time effectively.
- Effective communication with job applicants and existing employees regarding policies, internal requirements, benefits, evaluations, time and leave, and general work expectations.
