Position Overview

Human Resources Coordinator – New York,NY (US – On‑site, one day per week remote flexibility)

Job Responsibilities Employee Lifecycle Administration

Coordinate onboarding logistics including offer‑to‑Day1 readiness, onboarding tasks, I‑9 completion, and new‑hire documentation tracking. Process offboarding transactions including terminations, exit documentation and interviews, and system updates. Maintain accurate employee records and ensure HRIS data integrity.

HR Data & Systems Management

Enter, audit, and update employee data in Workday and related systems. Track employee status changes such as promotions, transfers, terminations, and contractual updates. Support data validation efforts and identify discrepancies for follow‑up.

Process Execution & Coordination

Execute standardized HR processes across assigned departments including onboarding, offboarding, and reporting. Track HR workflow progress and escalate issues as needed, including performance reviews and onboarding completion. Provide administrative and process support for employment and severance agreements with Legal, Compensation, Payroll, and HR Business Partners to ensure accuracy, compliance, and timely completion. Participate in audits related to severance information as needed.

Reporting

& Tracking Support

Prepare basic HR reports and summaries, maintaining trackers for headcount and organizational information, new hires, promotions, and milestones. Use Workday or Lucidchart to create organizational charts. Track performance cycle completion and onboarding/offboarding status including task completion in Workday.

Employee Experience & Culture

Support employee engagement initiatives and team events, including monthly team meetings and department town halls. Assist with internal HR communications and team announcements. Foster an inclusive, collaborative, and creative workplace culture. Oversee the Applause recognition program through Awardco and track employee milestones.

HRBP Support

Assist in organizing HR Business Partner deliverables, including reports, trackers, and documentation. Route HR Business Partner‑related requests to the appropriate stakeholders. Support special HR and people operations projects aligned with business and organizational goals.

Employee & Management Support

Serve as the first point of contact for basic HR inquiries, including questions about policies, forms, and processes. Respond to employee questions about HR policies, benefits, procedures, and programs, escalating issues when appropriate. Assist with leave administration in coordination with the Benefits team. Maintain confidentiality when handling sensitive employee information.

Qualifications

Required:

2‑3years of HR or administrative experience. Familiarity with HRIS systems;
Workday experience preferred. Strong organizational and follow‑up skills. High attention to detail and data accuracy. Ability to manage multiple workflows simultaneously. Strong professional communication skills and discretion in handling confidential information. Preferred qualifications may include additional HR certifications or experience with larger institutions.
