Job Description & How to Apply Below
Position: People Ops & Culture Associate
Location: New York

Inspiren offers the most complete and connected ecosystem in senior living. Founded by Michael Wang, a former Green Beret turned cardiothoracic nurse, Inspiren proves that compassionate care and technology can coexist - bringing peace of mind to residents, families, and staff.

Our integrated solutions seamlessly fit into existing workflows, capturing everything happening within a community. Backed by nurse specialists and powerful analytics, we provide the data operators need to make informed clinical and operational decisions - driving efficiency, profitability, and better care outcomes.

About the Role

The People Ops & Culture Associate is the operational backbone of Inspiren's People function — the person who makes everything run. This role is deeply tactical by design: you'll own the day-to-day systems and processes that power our employee experience, from HRIS administration and onboarding workflows to benefits and compliance. You’ll also own the operational heartbeat of our NYC office — from vendor relationships and facilities to weekly team lunches, events, onsite, swag, and the moments that make the culture feel intentional (birthdays, work anniversaries, celebrations worth doing right).

What makes this role genuinely exciting is the expectation to not just execute the work, but to constantly look for ways to make it better. Whether that's spotting a manual workflow that could be automated, identifying a process gap before it becomes a problem, or building scalable infrastructure that will outlast your first year — this role rewards initiative and operational creativity.

This is an in-person role 4 days a week, with 1 floating day (Monday or Friday).

What You’ll Do
  • HRIS Administration
    :
Own data integrity, system configuration, and reporting across our HRIS. Lead the upcoming HRIS implementation (May/June) and ensure clean, accurate records going forward.
  • Onboarding & Offboarding
    :
Run new hire onboarding end-to-end — documentation, systems access, and equipment — ensuring every hire is fully set up within 5 business days. Own the offboarding process with the same rigor.
  • Benefits & Leave
    :
Administer health benefits, 401(k), and leave programs. Manage enrollment processes, answer employee questions, and maintain accurate tracking.
  • Compliance & Records
    :
Maintain the compliance calendar, manage personnel files and employment records, and keep us ahead of federal and state regulatory requirements.
  • Payroll Support
    :
Run bi-weekly contractor hour processing and support payroll workflows as needed.
  • Office & Culture Ops
    :
Coordinate weekly team lunches, events, and onsite. Manage swag inventory and ordering. Own the employee milestone calendar — birthdays, work anniversaries, and other moments worth celebrating — and build out a lightweight gifting system. Serve as the point of contact for office vendors, facilities, and building management.
  • Process Improvement
    :
Identify manual or repetitive workflows that could be automated or streamlined — and take initiative to improve them. We expect this, not just appreciate it.
  • Lattice & Performance
    :
Support performance cycle administration, including 30/60/90 audits, Grow track management, and Lattice data hygiene.
  • Notion & Internal Resources
    :
Keep the People Ops Notion workspace current, accurate, and useful. Build and maintain FAQs and process documentation as the team scales.

  • Experience administering health benefits, 401(k), or managing open enrollment
  • Familiarity with federal and state employment law compliance and recordkeeping
  • Experience identifying and implementing process improvements or workflow automation
