The Role

We are seeking a detail‑oriented and systems‑minded Recruiting Operations Specialist to join our Talent Acquisition team. This role is the operational backbone of the recruiting function – owning the buildout and ongoing optimization of our ATS, supporting active recruiting and strategic projects prioritized with the team (focus varies – e.g., employer branding, candidate experience). The ideal candidate brings deep hands‑on experience configuring talent acquisition systems, a process‑design mindset, and the ability to translate recruiter pain points into clean, functional solutions.

This is a hybrid position requiring 3 days in office at our HQ in Soho, NYC.

Responsibilities HRIS & ATS System Buildout
  • Lead the end‑to‑end configuration and buildout of the HRIS and ATS platforms to support the full talent acquisition lifecycle.
  • Design, document, and implement standardized recruiting workflows within the system, including job requisition approval, candidate stages, offer management, and new hire handoff to onboarding.
  • Build and maintain system integrations between the ATS, HRIS, and adjacent tools (e.g., Linked In, background check providers, HRIS modules).
  • Partner with HR, Finance, and IT stakeholders to ensure data flows, permissions, and system architecture align with business requirements.
  • Serve as the primary system administrator for recruiting platforms—managing user access, configuration updates, and troubleshooting.
Process Design & Optimization
  • Map current‑state recruiting processes and identify gaps, redundancies, and automation opportunities.
  • Build and maintain a library of standardized recruiting templates, scorecards, and workflow documentation.
  • Develop and enforce data hygiene standards and ensure consistent use of the ATS across the recruiting team.
  • Create and maintain SOPs for all key recruiting operations processes.
Reporting & Analytics
  • Build and maintain recruiting team reporting covering pipeline health, source effectiveness, offer acceptance rates, and recruiter capacity.
  • Translate data into actionable insights for the TA leadership team and business partners.
  • Ensure data integrity across all reporting by establishing consistent data entry standards.
