About the Role

We're looking for an energetic, organized, and people‑focused Office Experience & People Operations Specialist to help create an exceptional employee experience while supporting key People & Culture operations.

This role sits at the intersection of workplace experience, culture, and people operations. You'll serve as the heartbeat of our office environment—creating a welcoming, engaging, and productive workplace while supporting critical talent and HR processes that help our people thrive.

The ideal candidate is highly organized, service‑oriented, and thrives in a fast‑paced environment where no two days look the same. You'll play a visible role in shaping the employee experience and fostering the culture that makes Orveon a great place to work.

This position requires an in‑office presence four days per week.

What You’ll Do Office Experience & Culture
  • Create a welcoming, professional, and engaging experience for employees, candidates, visitors, and business partners.
  • Serve as the primary point of contact for office operations and workplace‑related inquiries.
  • Manage day‑to‑day office operations and maintenance, including supplies, snacks, beverages, mail, work orders, and workplace organization.
  • Partner with building management and vendors to ensure a safe, well‑maintained, and high‑functioning office environment.
  • Coordinate office events and employee experiences, including town halls, celebrations, learning sessions, benefits fairs, volunteer activities, and culture‑building initiatives.
  • Ensure conference rooms and common areas are consistently presentation‑ready and reflect the Orveon brand experience.
  • Maintain office signage, communications, and workplace resources.
  • Support new hire office readiness, including badges, parking access, workspace preparation, and onboarding logistics.
People Operations
  • Coordinate interviews and scheduling across hiring managers, candidates, and the Talent Management team.
  • Coordinate schedules and meeting planners for the People & Culture team:
    Orveon University, Office Activities, etc.
  • Support background check and onboarding activities to ensure a seamless and positive new hire experience.
  • Process and maintain employee records within UKG and other HR systems, including supporting payroll and benefits administration tasks.
  • Facilitate I‑9 verification, E‑Verify processes, and other employment compliance requirements.
  • Assist with HR reporting, audits, and administrative processes.
  • Support employee engagement, recognition, and culture initiatives aligned to Orveon’s IMPACT values.
  • Partner with the broader People & Culture team on projects that enhance the employee lifecycle and overall employee experience.
Additional Responsibilities
  • Maintain organizational charts and employee directories.
  • Provide administrative and project support to leaders as needed.
  • Support special projects, employee programs, and company initiatives.
  • Monitor relevant People & Culture email inboxes.
  • Continuously identify opportunities to improve processes, experiences, and workplace operations.
What We’re Looking For

Required Qualifications
  • 2–5 years of experience in office management, workplace/employee experience, human resources, recruiting coordination, or a related field.
  • Strong organizational and project management skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize multiple tasks and adapt in a fast‑paced environment.
  • Proficiency with Microsoft Office and HR systems.
  • A proactive, solutions‑oriented mindset and willingness to roll up your sleeves.
Success in This Role Looks Like
  • Employees feel welcomed, supported, and connected to our culture.
  • The office runs seamlessly and provides an exceptional workplace experience.
  • Hiring managers and candidates experience efficient and professional interview coordination.
  • New hires have a smooth and memorable onboarding experience.
  • Processes are organized, compliant, and continuously improving.
