Position Overview
We are seeking a polished, highly professional, and detail-oriented Leave of Absence (LOA) Administrator to join our Human Resources team. This individual will serve as a subject matter expert for employee leave programs, ensuring compliance with federal, state, and local regulations while delivering a best-in-class employee experience.
The ideal candidate will possess strong communication skills, exceptional judgment, and the ability to interact confidently with employees, managers, senior leadership, and external vendors in a fast-paced financial services environment. This role requires a sharp, organized professional who can manage sensitive information with discretion and maintain the highest standards of service and professionalism.
Key Responsibilities
- Administer and manage all employee leave programs, including:
- Family and Medical Leave Act (FMLA)
- Americans with Disabilities Act (ADA) accommodations
- New York State Paid Family Leave (PFL)
- Short-Term Disability (STD)
- Long-Term Disability (LTD)
- Workers' Compensation
- Personal leaves and other company-sponsored leave programs
- Serve as the primary point of contact for employees, managers, and HR Business Partners regarding leave-related inquiries.
- Coordinate with third-party leave administrators, insurance carriers, healthcare providers, and legal/compliance teams.
- Review leave requests, medical certifications, supporting documentation, and return-to-work clearances.
- Ensure compliance with applicable federal, state, and local leave regulations.
- Track leave cases and maintain accurate records within HRIS and case management systems.
- Partner with Payroll, Benefits, and HR teams to ensure proper administration of pay and benefits during leave periods.
- Manage leave status communications and provide timely updates to stakeholders.
- Facilitate the interactive process for ADA accommodation requests.
- Prepare reports and analyze leave trends, utilization, and compliance metrics.
- Support audits and maintain strict confidentiality of employee medical and personal information.
- Recommend process improvements to enhance employee experience and operational efficiency.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- 3–6 years of experience administering employee leave programs in a corporate environment.
- Strong knowledge of FMLA, ADA, PFL, STD, LTD, Workers' Compensation, and related leave regulations.
- Experience working with third-party leave administrators and disability vendors.
- Proficiency with HRIS platforms such as Workday, Success Factors, ADP, Oracle HCM, or similar systems.
- Strong understanding of benefits administration and payroll implications related to leave management.
- Excellent organizational skills with the ability to manage multiple cases simultaneously.
- Exceptional written and verbal communication skills.
- Ability to exercise sound judgment and handle confidential information with discretion.
- Advanced proficiency in Microsoft Office Suite, particularly Excel and Outlook.
Preferred Qualifications
- Experience with in financial services, banking, asset management, investment management, private equity, or related regulated industries.
- Professional HR certifications (PHR, SHRM-CP, CEBS, or equivalent).
- Experience supporting multi-state employee populations.
- Knowledge of NYC and New York State employment regulations.
