Position Overview

We are seeking a polished, highly professional, and detail-oriented Leave of Absence (LOA) Administrator to join our Human Resources team. This individual will serve as a subject matter expert for employee leave programs, ensuring compliance with federal, state, and local regulations while delivering a best-in-class employee experience.

The ideal candidate will possess strong communication skills, exceptional judgment, and the ability to interact confidently with employees, managers, senior leadership, and external vendors in a fast-paced financial services environment. This role requires a sharp, organized professional who can manage sensitive information with discretion and maintain the highest standards of service and professionalism.

Key Responsibilities

  • Administer and manage all employee leave programs, including:
  • Family and Medical Leave Act (FMLA)
  • Americans with Disabilities Act (ADA) accommodations
  • New York State Paid Family Leave (PFL)
  • Short-Term Disability (STD)
  • Long-Term Disability (LTD)
  • Workers' Compensation
  • Personal leaves and other company-sponsored leave programs
  • Serve as the primary point of contact for employees, managers, and HR Business Partners regarding leave-related inquiries.
  • Coordinate with third-party leave administrators, insurance carriers, healthcare providers, and legal/compliance teams.
  • Review leave requests, medical certifications, supporting documentation, and return-to-work clearances.
  • Ensure compliance with applicable federal, state, and local leave regulations.
  • Track leave cases and maintain accurate records within HRIS and case management systems.
  • Partner with Payroll, Benefits, and HR teams to ensure proper administration of pay and benefits during leave periods.
  • Manage leave status communications and provide timely updates to stakeholders.
  • Facilitate the interactive process for ADA accommodation requests.
  • Prepare reports and analyze leave trends, utilization, and compliance metrics.
  • Support audits and maintain strict confidentiality of employee medical and personal information.
  • Recommend process improvements to enhance employee experience and operational efficiency.

Required Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • 3–6 years of experience administering employee leave programs in a corporate environment.
  • Strong knowledge of FMLA, ADA, PFL, STD, LTD, Workers' Compensation, and related leave regulations.
  • Experience working with third-party leave administrators and disability vendors.
  • Proficiency with HRIS platforms such as Workday, Success Factors, ADP, Oracle HCM, or similar systems.
  • Strong understanding of benefits administration and payroll implications related to leave management.
  • Excellent organizational skills with the ability to manage multiple cases simultaneously.
  • Exceptional written and verbal communication skills.
  • Ability to exercise sound judgment and handle confidential information with discretion.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel and Outlook.

Preferred Qualifications

  • Experience with in financial services, banking, asset management, investment management, private equity, or related regulated industries.
  • Professional HR certifications (PHR, SHRM-CP, CEBS, or equivalent).
  • Experience supporting multi-state employee populations.
  • Knowledge of NYC and New York State employment regulations.
