Compensation: $27-$29 an hour based on relevant experience.
Location: 1000 Gates Ave, Brooklyn, NY, 11221.
Schedule: Monday-Friday, on-site, 9:00 AM - 5:00 PM.
The HR Compliance Audit Coordinator plays a dual role in ensuring the integrity and audit-readiness of HR documentation. This position is responsible for conducting thorough caregiver compliance audits while also scanning, organizing, and maintaining employee records in accordance with federal, state, and company regulations. The ideal candidate will be highly detail-oriented, tech-savvy, and capable of managing both digital file systems and regulatory documentation standards.
Responsibilities & Scope:- Conduct compliance audits of caregiver records to ensure all required documentation is up to date and adheres to regulatory standards (DOH, HIPAA, JCAHO).
- Track and update certifications, CHRC, HHA documents, medicals, and other required caregiver credentials.
- Utilize systems such as HHA Exchange, E-Verify, Paper Flow, Paper Vision, and SharePoint for compliance tracking and document management.
- Scan, digitize, upload, and categorize HR documents, ensuring proper indexing and high-quality digital files.
- Maintain and improve digital filing systems for quick retrieval and audit preparedness.
- Monitor and maintain data accuracy and compliance tracking dashboards.
- Retrieve documents for audits and respond to documentation requests from HR or leadership.
- Coordinate with team members and leadership to resolve compliance issues and support corrective actions.
- Assist in internal and external audits by preparing required documentation and ensuring all records are audit-ready.
- Provide guidance on compliance policies and updates to internal HR teams.
- Maintain confidentiality and ensure secure handling of sensitive employee information.
- Adapt to evolving business needs and contribute to special HR or compliance projects as needed.
- 35% - Conducting and preparing compliance audits.
- 30% - Scanning and maintaining digital HR documentation.
- 20% - Tracking and updating certifications and compliance metrics.
- 10% - Retrieving documents and supporting audits.

- Works closely with HR coordinators, caregivers, IT support, and external regulatory agencies.
- Plays a key role in ensuring Ultimate Care's audit-readiness and compliance across caregiver documentation.
- Maintains critical systems and processes to ensure up-to-date and accessible records.

- Responsible for both physical and digital HR documentation, including audit support, compliance tracking, and credential management.
- Central to maintaining compliant and organized caregiver files across Ultimate Care locations.
- 1-2 years' experience in home care HR, credential tracking, and digital scanning systems preferred.
- 2-4 years in HR compliance, auditing, or document management.
- Proficiency in HHA Exchange, Health Commerce System, HCR and CHRC tracking, Nevvon, SharePoint, Paper Flow, Paper Vision, and other HR compliance tools is a plus.
- Proficiency in Microsoft Office Suite and HRIS/document management systems.
- High level of integrity and confidentiality handling sensitive information.
- Strong attention to detail with excellent organizational skills.
- Skilled in analyzing data for compliance trends and reporting.
- Strong communication and collaboration skills.
- Able to work independently and manage shifting priorities.
- Bilingual (English/Spanish) is a plus.
