About the DepartmentThe Public Affairs division works to engage New Yorkers and boost civic participation. Within Public Affairs, the Language Access Unit ensures meaningful language access for voters, candidates, and contributors. The unit delivers translation, localization, transcreation, spoken interpretation, over‑the‑phone and video‑remote interpretation, and ASL & CART services. It also leads the agency’s language‑access implementation strategy and maintains compliance with local laws and the Voting Rights Act.
Job DescriptionReporting to the Language Services Manager, the Language Services Coordinator supports the agency’s mission of providing accessible, linguistically appropriate information to voters, candidates, and campaigns who speak and write languages other than English. The role coordinates and delivers translation, localization, and interpretation services, maintains systems and resources, and contributes to programmatic strategies and goals. The coordinator works closely with internal teams and external vendors to ensure high‑quality, timely, and compliant language services.
Responsibilities- Coordinate end‑to‑end translation, transcreation, and localization requests across multiple formats and languages.
- Prepare project files, compile instructions, develop workflows, and manage assignments through translation management systems such as Trados and Smartling.
- Coordinate virtual and in‑person spoken interpretation requests, including equipment distribution, interpreter supervision, and troubleshooting.
- Coordinate ASL and CART services and support over‑the‑phone and video‑remote interpretation services.
- Process client and community feedback on translated materials and incorporate improvements.
- Assist in developing strategies that improve service delivery processes, workflows, and timelines.
- Support maintenance of project tools and trackers, and archive multilingual project materials, reference files, and communications.
- Maintain and support translation management systems and linguistic resources, including glossaries, style guides, and translation memories.
- Contribute to creation and yearly auditing of standard operating procedures.
- Assist with vendor management, including invoice reconciliation and budget tracking.
- Produce reports on language‑services indicators.
- Support implementation of the agency’s language‑access strategies and compliance with local laws and the Voting Rights Act.
- Advocate for and embed meaningful language‑access practices across agency workflows.
Essential knowledge, skills, and abilities include:
- Knowledge of translation, localization, and transcreation processes, workflows, quality assurance, and language‑industry standards.
- Knowledge of interpretation modalities and equipment requirements.
- Knowledge of translation‑management systems (e.g., Trados, MemoQ, Phrase, Smartling).
- Knowledge of project‑management tools (e.g., , Asana).
- Knowledge of file‑management best practices and terminology‑management tools.
- Native fluency in at least one of:
Arabic, Bangla, Chinese, French, Haitian Creole, Korean, Russian, Spanish, or Urdu. - Strong project‑management, vendor‑coordination, and communication skills.
- Excellent organizational skills, data‑tracking, and reporting abilities.
- Ability to manage multi‑language pipelines and deliver projects on time, under tight timelines for large projects.
- Commitment to language justice, equity, inclusion, and meaningful language access.
- 2–3 years of experience coordinating or managing language services.
- Experience delivering language services in the public sector.
- Experience working with immigrant communities in New York City.
