Job Description: We are seeking an experienced Legal Secretary to join a valued clients litigation team. In this role, you will provide high-level support to attorneys and paralegals, delivering exceptional client service while managing a variety of administrative and legal tasks. This is a hybrid position with a focus on supporting multiple attorneys across complex civil litigation matters.

Key Responsibilities:
  • Prepare, revise, format, and finalize a wide range of legal documents, including pleadings and briefs.
  • Assist attorneys with new client and matter intake, conflicts checks, waiver letters, and auditor responses.
  • Accurately enter attorney time into the timekeeping system and meet daily deadlines.
  • Establish and maintain paper and electronic client and administrative files in compliance with firm policies, including email filing in document management systems.
  • Coordinate calendars, arrange meetings, and handle travel arrangements for attorneys and clients.
  • Prepare and submit expense reports, and assist with client billing and receivables in collaboration with accounting.
  • Answer and screen calls, respond to client inquiries, and route mail as needed.
  • Provide assistance to other legal secretaries as required to meet team and client needs.
Qualifications:
  • Bachelor's degree preferred.
  • Minimum of four (4) years of legal secretarial experience in a law firm environment supporting multiple attorneys.
  • Experience in Securities Litigation and Enforcement is preferred.
  • Familiarity with Bankruptcy Litigation is a plus.
  • Ability to work under pressure and meet strict deadlines.
  • Strong knowledge of formatting briefs, pleadings, and litigation documents.
  • Familiarity with e-filing procedures and New York and Federal Court protocols.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and manage multiple tasks in a high-pressure environment.
  • Personable, professional, detail-oriented, and a proactive problem solver.
  • Strong organizational skills and the ability to work independently.
Technical

Skills:
  • Proficient in Microsoft Office Suite and Adobe.
  • Experience with document management systems (e.g., iManage) preferred.
