Outten & Golden LLP is seeking a Legal Executive Assistant in our New York office. The ideal candidate will have a positive, proactive, service-oriented approach, the ability to work with a range of people, and high attention to detail and standards. This position requires thorough knowledge of all firm administrative processes, IT systems, and research tools.
The scope of responsibilities includes prioritizing, managing, and following through on multiple projects, and communicating effectively and professionally with clients, attorneys, and staff. A passion for supporting an office and a team of busy professionals will serve a person well in this role.

Responsibilities- Maintain attorney calendar, including scheduling appointments within the office and making any necessary travel arrangements
- Maintain contacts and track potential clients and referrals as received
- Open and update matters in Filevine and Orion
- Track and file client documents and contact information
- Enter expense reimbursement and disbursement information into tracking software
- Process invoices
- Organize and maintain case files including scanning and saving documents into Filevine
- Draft and edit letters, retainer agreements, and other basic legal documents
- Assist with contacting clients and opposing counsel to coordinate conferences and calls
- Conduct basic legal and internet research using Court Link, PACER, Bloomberg, and Westlaw
- Enter attorney time
- Proactively assume other duties as necessary
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds at times
- Education and Experience: You have a minimum of 3 years of relevant experience in a law firm setting. You are proficient in Microsoft Word, Excel, and PowerPoint.
- Confidentiality: You must be able to adhere to Firm policies regarding the protection of confidential data and demonstrate sensitivity to (and good judgment in connection with) confidential attorney, personnel, and Firm matters.
- Clear Communication and Attention to Detail: You have excellent written and oral communication skills, interpersonal skills, and a pleasant, professional telephone manner. You proactively communicate the status of your work and share updates with colleagues when necessary. You ensure that your work is mistake free.
- Flexibility and Organization: You are versatile and able to respond quickly and positively to shifting demands and opportunities. You are comfortable in an environment where your responsibilities may vary from day to day. You demonstrate a “no job too big, no job too small” attitude, and take a collaborative, team-focused approach to rejuggling priorities and contributing to Firm tasks. You are comfortable balancing tasks of varying levels of urgency and complexity and work well under pressure with tight deadlines.
