We are seeking a highly organized, proactive, and creatively fluent Operations & Marketing Coordinator to support the firm's legal, administrative, and marketing functions. This role supports both the firm’s internal operations and external presence, helping manage client onboarding, legal workflows, and creator-focused content. The Legal Operations & Marketing Coordinator contributes directly to firm growth while gaining hands‑on experience in the ever‑changing entertainment and media industry.
This is a multifaceted role within a small, close‑knit team, where the successful candidate will work directly with attorneys, clients, and external vendors while playing a key role in how the firm communicates with the creative community. This position is ideal for a detail‑oriented professional, who enjoys balancing structured operational work with creative output, can handle confidential client information, and is comfortable taking ownership of systems, deadlines, and public‑facing communications.

The Legal Operations & Marketing Coordinator serves as a central point of coordination for the firm's administrative operations, client onboarding, intellectual property tracking, and outward‑facing marketing efforts. The position involves meaningful responsibility and autonomy, with direct exposure to the firm's attorneys and clients.
ResponsibilitiesAdministrative & Legal Support
- Manage attorney inboxes, calendars, scheduling, the firm’s cloud‑based document management system, and the organization of IP‑related documentation
- Coordinate signatures and execution of contracts, agreements, and legal documents
- Support company formation processes for clients, including entity setup documentation, and filings
- Update, organize, and maintain financial, tax, and business records
- Track trademark application timelines, including monitoring deadlines, maintaining records, and sending reminder communications
- Manage client onboarding from initial engagement through system setup, including preparing engagement letters, invoice tracking, and client documentation workflows
- Serve as a client‑facing point of contact and ensure client records, forms, and communications are accurate, current, and well organized
- Coordinate with vendor companies, filing agents, trademark services, and third‑party providers
Marketing & Social Media
- Create and publish social media content, including video, tailored to creators, artists, and professionals in the entertainment, media, and arts industries on legal topics
- Prepare promotional materials for Weissman Law's monthly webinars, including digital flyers, event announcements, and reminder posts
- Maintain a content calendar aligned with legal developments, firm initiatives, and upcoming events, and ensure
- Demonstrated ability to manage systems, documents, and workflows independently
- Comfort working in a small, client‑facing environment
- Experience creating social media content, including drafting posts, developing content concepts, and producing short‑form video or visual content
