Location: New York

Under direct supervision of Assigned Management, this position provides professional legal support service to attorneys and paralegals in the form of litigation support, basic legal research, drafting of legal and business communications and documents, supporting regulatory action (including paper and electronic discovery, subpoena document production and regulatory audits), general file management and record retention. The incumbent also provides coordination and oversight of legal matters assigned to or through the legal department and responds to internal and external inquiries regarding pertinent issues.

Essential Resource Responsibilities / Accountabilities:

  • Responsible for intake, tracking, and monitoring status and reporting of legal matters assigned to or through the Corporate Legal Department
  • Reviews and understands legal issues assigned to or through the Corporate Legal Department; analyzes appropriate legal actions to be taken, funnels legal matters to attorneys and paralegal based on the attorneys and paralegal legal expertise, experience, and availability
  • Serves as liaison and contact with business owners for internal legal assignments, confers with business owners to collect required documentation and information necessary for completion of legal assignments, communicates to business owners and manages expectations regarding delivery times for completion of legal matters, and oversees timely completion of legal assignments
  • Assists in the support of litigation matters, including updating litigation log and database, research, document preparation, obtaining and reviewing documents responsive to discovery demands, responding to document production requests and preparing litigation hold notices
  • Assists in administration of legal department software and databases, including management of design, coordination of enhancements, and maintenance of system functionality, as well as, coordination of periodic software training for legal department personnel, as requested
  • Communicates with attorneys and other external parties to answer questions and gather pertinent information, as directed
  • Researches, compiles, and prepares legal documents such as memoranda, letters, and contracts, for review, approval, and use by Corporate Legal attorneys, as directed
  • Establishes and maintains requisite legal files (electronic and hard copy) consisting of correspondence, pleadings, legal documents, and background materials relative to assigned matters
  • Assists in designing and administering Corporate Legal Department website, which includes managing all content and the formatting, functionality, and usage of e-trackers
  • Participates in developing metrics and reports to measure department performance against department and division goals and scorecards, as requested
  • Maintains a regular presence in various regional offices, as directed by Corporate Legal

Minimum Resource Qualifications:

  • Minimum requirements are an Associates degree in relevant field or paralegal certification required with a minimum of two years of paralegal experience. Bachelor's degree preferred.
  • Must possess strong analytical ability, organizational and project management skills, coupled with the ability to prioritize assignments, work independently, and handle confidential information with discretion
  • Must possess excellent written and oral communication skills and be capable of establishing effective working relationships with all levels of internal staff and external representatives
  • Keeps abreast of developments germane to the function by participation or attendance at seminars, workshops, publication reviews, and independent study
  • Should demonstrate competency in word processing and have expertise with PCs and proficiency with Word and Excel
  • Preference that applicant have familiarity with IBM Notes, enterprise level contract management software solutions, and be very proficient in Microsoft Word
  • Able to demonstrate an ability to quickly master new software application
  • As requested, activities may require off-site investigations and/or travel
