We are building a modern, systems-driven law firm designed to handle high transaction volume while delivering an exceptional client experience. We are seeking a highly organized, responsive, and proactive Transaction Manager / Client Intake Specialist to become a key part of our team.

About

the Role

This is a critical role within the firm. You will be responsible for:

  • managing real estate transactions from contract to closing
  • acting as a primary point of contact for clients and realtors
  • ensuring all deals move forward efficiently
  • maintaining consistent communication with all parties

This is not a passive administrative role
. We are looking for someone who takes ownership, stays ahead of issues, and thrives in a fast-paced environment.

Responsibilities
  • Track and manage multiple real estate transactions simultaneously
  • Maintain internal deal tracker and ensure all files are up to date
  • Coordinate with realtors, lenders, title companies, and attorneys
  • Monitor deadlines (attorney review, inspections, mortgage, closing)
  • Follow up proactively to keep transactions moving
  • Serve as primary contact for client and realtor communication
  • Provide regular updates on deal status
  • Respond to emails and texts promptly and professionally
  • Set expectations and ensure a smooth client experience
  • Handle new client intake and onboarding
  • Collect contracts and required documents
  • Set up files and organize documents
  • Prepare matters for attorney review
Requirements
  • Highly organized with strong attention to detail
  • Ability to manage multiple transactions at once
  • Strong written and verbal communication skills
  • Extremely responsive and reliable
  • Ability to prioritize tasks in a fast-paced environment
